Join our Team as a Contracts Coordinator / Scheduler!
ARK Systems is looking for a Contracts Coordinator / Scheduler to join our amazing team! The Fire Protection Scheduler is responsible for scheduling Inspections for the Testing department at ARK Systems. This job operates in a professional climate-controlled office environment in Columbia, MD from 8 : 30am-5pm, Monday-Friday. This is an on-site role, only.
What you bring :
Must have knowledge of office administrative procedures and knowledge of use and operation of standard office equipment, at a level generally acquired through 3 years related experience.
Some analytical ability is required in order to gather and summarize data, find solutions to various administrative problems and prioritize work.
Good oral / written communication skills are necessary. Must be able to work in a high volume / fast paced environment and handle multiple tasks. Should be comfortable answering a phone and making calls for potential entirety of shift.
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines.
Must have a positive and respectful attitude and maintain good working relationships with management staff and employees.

Duties / Responsibilities :
Effectively coordinate and schedule a team of inspection technicians.
View open ticket reports to aide in scheduling manpower for inspections and testing of low voltage systems.
Coordinate testing with sub-contractors as required.
Communicate effectively with the Sr. Contracts Coordinators and Lead Technicians to identify and resolve scheduling issues.
Answer customer calls and follow through on their requests.
Provide customer service and maintain positive relationships with Property Managers and Building Engineers.
Support the Sales Staff regarding scheduling needs for customers.
Education and Experience :
1-2 years of scheduling / dispatching experience.
Able to thrive in a high volume / fast paced environment.
Detail oriented, flexible, organized, driven and multi-tasker.
Proficient in MS Office Suite.
Self-starter, critical thinker, team player and positive attitude.
Physical Requirements :
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
