Summary:
The Receptionist is expected to have the switchboard open and operating promptly at 8:30 a.m. and throughout the day until 5:00 p.m. Relief switchboard coverage is provided for lunch and other times as required. The receptionist position is primarily responsible for providing the first line of a positive customer service experience to the companys customers and guests.
Duties/Responsibilities:
- Professionally greet and administer all incoming calls and guests in a professional, friendly and hospitable manner.
- Assure all incoming calls are forwarded and answered by an actual person vs a voice message in all cases possible
- Assure all incoming calls are handled by the individual the call is transferred to so there are no more than one transfer of the call to assist a customer.
- Ensure all incoming calls are transferred to the appropriate individual within the company to handle their request.
- Submittals copy, bind and type transmittal sheet and labels for shipping.
- Copying and scanning as required.
- Applying correct postage on first class and certified mail as requested.
- Pull and open incoming invoices from mail and date stamp.
- Distributing incoming faxes to appropriate folders
- Contact courier service when necessary.
- Primary contact and service provider follow up for all general office copiers, scanners, fax machines, etc.
- Perform a variety of clerical duties for ARK employees. This may include faxing, filing, and collating, typing correspondence in Word, Excel, and general assistance for various tasks.
- All other administrative duties as required
Required Skills/Abilities:
- Must have knowledge of positive customer service, secretarial, office administrative procedures and knowledge of use and operation of standard office equipment, at a level generally acquired through a minimum of 2 years related experience.
- Excellent phone etiquette and good oral/written communication skills are necessary. Must be able to work in a high volume/fast paced environment and handle multiple tasks.
- Excellent customer service experience.
- Must be punctual and be able to work with minimum supervision.
- Must have a positive and respectful attitude and maintain good working relationships with management staff and employees.
- Must have good typing skills and be customer oriented/formal customer service training is desired
- Copy & fax machine, scanning and file structure, typewriter, binding machine, postage machine, and computer knowledge: Microsoft Office, Business software, etc.
Education and Experience:
- Requires a high school diploma or its equivalent supplemented with 2 years of clerical experience in an office environment (Receptionist experience a plus).
Physical Requirements:
- May lift up to 20 lbs.
