The Department of Environmental Services (DES) is seeking a highly motivated, detail-oriented individual with strong technical skills to fill the position of Real Estate Records Database Administrator within their Real Estate Bureau. The Bureau is responsible for all real estate transactions within the County and represents each County Department's specific and ongoing real estate needs. This employee will be responsible for reviewing numerous complex historical real estate files to determine how the records should be categorized, filed and entered into the Bureau's Real Estate Filing System (REFS).

Additional Information
Work hours: Monday through Friday, 40 hours per week, flexible 8-hour shifts between the hours of 7:00 AM and 6:00 PM. This is not a full-time remote opportunity. Some telework opportunities available with supervisor approval.

This employee will be responsible for reviewing numerous complex historical real estate files to determine how the records should be categorized, filed and entered into the Bureau's Real Estate Filing System (REFS).
Responsibilities
Specific duties include:
- Maintaining the Bureau’s various database systems to provide accurate records of all real estate transactions;
- Documenting, classifying, organizing and scanning various real estate documents, data entry, and use of web-based applications;
- Tracking of the Bureau’s real estate projects and assisting Real Estate Specialists with records management;
- Creating and maintaining SharePoint webpages, collaborative lists, work schedules, tracking spreadsheets, and workflows;
- Conducting quality control audits on previously entered information to ensure completeness, accuracy, and compliance with the Virginia Public Records Act, and providing necessary tracking reports;
- Making recommendations for modifications to Bureau database software, management systems and processes, and documenting those changes;
- Serving as liaison between the Bureau, Department of Technology Services, and outside software vendors, including providing support to the Bureau’s Administrative Specialist; and
- Supporting the Bureau’s responses to FOIA requests and other database software and management systems.
Minimum qualifications:
- Bachelor’s degree in Business Administration, Public Administration, or related field; and
- Experience in administrative functions and records/database management, including overseeing fiscal operations and other related administrative tasks.
Desirables: Preference will be given to candidates with one or more of the following:
- Understanding and interpreting information contained in real estate and legal documents;
- Working with database software, data management systems, and GIS;
- Proficiency in entering, organizing, and manipulating data in Microsoft Excel; and/or
- Experience with managing a SharePoint site, such as configuring new and/or existing page layouts and features.
