The primary function of the Service Coordinator is to assist the service manager, as well as perform all posting, tracking and billing functions for the Service Department.
Job Responsibilities:
- Answer incoming service calls on a daily basis.
- Responsible for updating daily service reports. Add information onto internal spreadsheet on labor tracking.
- Add billable time to invoice in the accounting software via timecard entry.
- Invoicing of completed service tickets verifying correct hours and parts used.
- Maintain rental and used truck inventory.
- Responsible for check in/out rental equipment. This includes inspecting the unit before rental and filling out the appropriate form for customer signature during delivery of rental. Checking in equipment upon return, filling out the check in sheet and noting any damage and reviewing anything found with customer.
- Track maintenance requirements on rental inventory and schedule service as needed.
- Manage and schedule all rental and compactor PM’s using internal spreadsheets based off hours, mileage, or time.
- Communicate with service manager and sales on any issues with customer equipment that might be deemed in need of replacement or major repairs by service technicians.
- Dispatching of mobile service technicians.
- Preparing of service quotes and follow up on quotes that are not approved.
- Follow all policies and procedures.
- Perform all other duties assigned.
Job Requirements:

- Ability to cope with pressure, multiple projects, and frequent interruptions.
- Proficient computer skills with Microsoft Office including Outlook, Excel, and Word.
- Strong verbal and written communication skills.
- Understanding of and adherence to confidentiality.
- Follow all safety rules and guidelines.
- Must have a valid driver's license.
- Present a professional image in personal appearance, dress, and preparation.
Working Conditions: Hours will be 8:00 a.m. – 5:00 p.m., Monday through Friday plus overtime as required. This is an hourly, non-exempt position.
