We are seeking a proactive and organized Office Manager to join our mid-sized law firm in our Washington, D.C. office. The ideal candidate will be responsible for overseeing the daily operations of the office, ensuring a productive and efficient working environment. The Office Manager will be instrumental in supporting the legal staff, upholding a professional environment, and serving as the administrative liaison to the attorneys, ensuring the consistent implementation of firm policies.
Overall Responsibilities:
Primary duties will include, but are not limited, to the following:
- Manage office operations including supplies, equipment, and facilities.
- Co-supervise administrative staff (in partnership with Director of Human Resources and Legal Support Manager) by monitoring in-office attendance, assisting with managing workflow and task delegation, and ensuring the efficient operation of daily office activities.
- Implement office policies and procedures to enhance productivity.
- Assist in human resources functions such as onboarding, staff training, and performance reviews.
- Support marketing and client development initiatives and activities.
- Responsible for the coordination of the following Office Services responsibilities:
- HVAC issues between building management and employees of DC office
- Housekeeping
- Pest control
- Ongoing installation, maintenance and repair of office furniture and equipment (such as bookshelves, podiums, write-boards, chairs, copy room equipment, etc.)
- Building/space maintenance (such as general repair to doors, carpet, tile, electrical and signage)
- Build and maintain good working relationships throughout the office and with the building/property management
- Maintain relationship with vendors; meet with vendors on a periodic basis for all office services
- Responsible for the coordination of the following Hospitality responsibilities:
- Coordinate Facilities/Hospitality budgets with Atlanta counterparts
- Coordinate DC Office events such as monthly birthday celebrations, monthly partners meetings as well as other internal team meetings
- Coordinate with Atlanta for other Firm-wide events such as Thanksgiving, Staff Appreciation, Holiday Party, etc.
- Coordinate DC Office for external community events
- Collaborate with Marketing and Events to coordinate/facilitate large meetings in the DC Office including client fly-ins, presentations and client holiday party for 100 guests
- Collaborate with and support Accounting team in various capacities such as delivering confidential documents to Attorneys, prebill / billing deadline follow up, time entry policy adherence, and other ad hoc requests as necessary
Qualifications:
- Bachelor’s degree in Business Administration, Management, or related field preferred.
- 3 years of office management experience, preferably in a legal environment.
- Strong organizational and multitasking skills.
- Excellent interpersonal and communication abilities.
- Proficiency in Microsoft Office Suite and legal management software.
- Knowledge of legal terminology and procedures is a plus.

Full-time; 9:00 a.m. – 5:30 p.m., Monday-Friday
