We are currently seeking a self-motivated and detail-oriented candidate to work as a Settlements Assistant on our Office Services Team supporting the Houston office on high-profile injury and mass tort cases. Our Firm handles cases across the country for those catastrophically injured in maritime, industrial, trucking, and other serious accidents. We help real people who are struggling in unimaginable situations. The ideal candidate is a professional, enthusiastic, and organized self-starter with some legal file room or mail room experience. A proactive work ethic, the ability to anticipate needs, and attention to detail are a must. Must be based in Houston, TX and commited to onsite work.
The Administrative Assistant to the Settlement Department will be responsible for client expenses, correspondence to clients and counsel, filing, and data entry.
Duties/Responsibilities:
- Balance verifications for mediations and settlement meetings.
- Organize client billing chart with backup to contact each facility for the current balance.
- Request updated statements for the client files.
- Report confirmed balances to Settlement team to update case expenses.
- Daily correspondence with clients – confirming addresses, answering settlement timeline questions.
- Correspondence with counsel – sending release documents by email and/or mail; scheduling courier pickup or delivery.
- Regular mail regarding facility payments.
- Update Settlement team on documents mailed.
- Maintain client billing files.
- Assist with projects.
Required Skills/Abilities:
- Law firm experience preferred
- Medical record experience preferred
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills.
- Ability to prioritize tasks.
- Proficient with Microsoft Office Suite.
- QuickBooks preferred.
Education and Experience:
- College degree or Some college.
- 2-5 years of related experience.
Physical Requirements:
- Must be able to lift up to 15 pounds at times.
