Overview:
The candidate will have a combination of strong administrative and technical skills, with the ability to quickly learn new software platforms that the team is currently implementing like InEight and all its modules. This individual will provide support to project management, PMO, and project teams, helping with administrative tasks, maintaining systems and project trackers, and contributing to reporting efforts. They will also assist with change management and risk management activities under the guidance of PMO teammates.
Key Responsibilities:
- Administrative Support: Perform day-to-day administrative tasks, including maintaining project trackers, organizing documentation, and ensuring data is well-structured and easily accessible.
- Project Management Support: Assist PMO/PM team with task coordination, project maintenance tasks, and tracking progress as guided by the PMO team.
- PMO Task Support: Help the PMO team by supporting project compliance and reporting needs.
- Contract / Procurement Support: Assist the MWBE lead and PMO subcontract management team with general contract-related tasks, helping to manage subcontractor agreements and ensuring compliance with MWBE goals as needed.
- Change Management and Risk Input: Support the PMO team in managing change requests and inputting risk data into the PMIS and current trackers, ensuring the accuracy of change management logs and risk logs under the supervision of PMO teammates.
- Data Reporting and Visualization: Utilize Power BI (or similar tools) to create, update, and maintain reports and dashboards that track key project metrics, risks, and performance indicators from and outside the PMIS system.
- PMIS Support: Work with PMIS platforms (e.g., InEight) to ensure that data related to change orders, risks, and project updates are consistently entered and up to date.
- Tracker Maintenance: Assist in project trackers (e.g., risks, changes, action items) are kept in the appropriate format, fully updated, and aligned with project needs.
- Software Learning and Adaptation: Quickly learn and adapt to new project management and reporting tools, ensuring systems are used efficiently and effectively.
Qualifications
Required Skills:
- Administrative Strength: Organized and detail-oriented, with proven skills in managing and maintaining project documentation, trackers, and databases.
- Power BI Skills: Basic knowledge of Power BI or similar data visualization tools for generating reports and dashboards.
- Project Management Tools: Exposure to or the ability to quickly learn PMIS platforms.
