Job Summary/Scope

The Staff Accountant provides support for daily accounting activities. Responsibilities include general ledger account reconciliation, month-end closing entries, participation in the annual budget and audit processes, tax returns, inventory, and other assigned accounting functions. The role involves the detailed review, analysis, and alignment of financial data related to physician and hospital billing. Additionally, this role will manage the organization’s clinical inventory, handle ordering and supplying necessary items, and maintain accurate records of all procurements for inventory management. 


Essential Functions 

1. Responsible for the accurate and timely month-end closing process. 

2. Ensures monthly operating revenues and expenses are accurate and posted timely. 

3. Prepares journal entries and monthly bank reconciliations. 

4. Manages banking activities and resolves discrepancies in bank statements. 

5. Ensures timely and accurate bank deposits and maintains daily bank balances. 

6. Processes payroll accurately, including calculations of pay, overtime, and deductions. 

7. Resolves payroll discrepancies and maintains confidentiality. 

8. Ensures that accounts receivable, payable, payroll, balance sheet, and other accounts are current and accurate. 

9. Responsible for monitoring, collecting, and documenting accounts receivables activities for organ/non-tissue receivables greater than 90 days past due. 

10. Ensures the preparation and review of the Cafeteria Plan 5500. 

11. Assist with preparing the annual and interim Medicare Cost Reports.

12. Prepares audit schedules and assists with the annual financial audit and tax return documentation. 

13. Maintains inventory, orders new stock, and conducts inventory audits. 

14. Performs medical billing reviews, resolves discrepancies, and codes bills according to regulations. 

15. Serves as a resource for clinical staff and audits clinical documentation.


Secondary Functions 

1. Assists in annual budget preparation, develops estimates, and enters approved documents into accounting software. Provides routine financial reports to management. 

2. Acts as a resource for accounting, employee expense reporting, and time and attendance software, ensuring maximum utilization. 

3. Leads and assists in Finance department projects, researching topics for decision-making. 

4. Serves as the primary backup for the Finance Assistant. 

5. Serves as a resource for essential accounting functions in the absence of the Chief Finance Operating Officer.

2. Completes and maintains appropriate documentation in a timely and thorough manner, including activities. Examples include training documentation, mileage, expenses, an electronic schedule of ARORA events, and other forms.

3. Exhibits and models ARORA’s conduct standards, mission, and organizational clarity (core purpose, core values, business definition, and strategic anchors) in all job functions and interactions both internal and external to ARORA. 

a. Utilize the ARORA strategic anchors: Creating a Culture of Donation, Financially Sound and Quality during work activities and in the decision-making process. 

4. Attendance at staff meetings, training programs, and/or in-services meetings, as required. 

5. Demonstrates professional appearance, behavior and standards in all business dealings and interactions. 

6. Demonstrates professional conduct and behavior reflective of ARORA’s respect, honor, admiration and 

reverence for the donor and donor family. 

7. Fosters effective relationships with client representatives. 

8. With the approval of the CFOO, serves on national committees. 

9. Performs other duties as assigned.


Potential Risk Factors: 

1. Risk Exposure to Blood/Body Fluids: While performing some essential functions of your position, you may be exposed to blood or body fluids. Established procedures identify the appropriate personal protective measures that you should use when performing essential functions of your position. 2. Repetitive Motion: While performing some essential functions of your position, you may be required to perform some functions repeatedly. When such tasks are not performed properly, injury can result. 

3. Minimum Weightlifting Requirement: While performing some essential functions of your position, you may be required to do some lifting, moving, pushing, or pulling. When such tasks are not performed properly, injury can result. Must have the ability to lift minimum weight of 20 lbs. 

4. Prolonged Sitting, Standing, and Bending: While performing some essential functions of your position, you may be required to sit, stand, or bend for an extended period of time. When such tasks are not performed properly, injury can result. Precautions and/or equipment should be used when performing this task. 

5. Competency Evaluation: Competency evaluations are required for this position. Your supervisor will notify you when your evaluation is to be conducted. 

6. Training: You may need additional training to better understand the performance requirements of your essential job functions. Training classes are available and can be requested and/or assigned. Your attendance at such classes is mandatory. 


Work Environment 

1. Works in a normal office environment. 

2. Required to carry a cellular telephone for business purposes. 

3. Occasional travel required by personal vehicle to fulfill the duties and responsibilities of the position. 

4. May require travel by commercial or chartered aircraft. 

5. Non-smoking office. 


Work Hours 

Forty-hour workweek with occasional weekends, holidays, or evenings. 

Requirements

Minimum Job Requirements 

1. Bachelor’s degree in accounting or business administration and 2 years of accounting experience. 

2. Proficient with personal computers and accounting software, preferably Sage Intacct. 

3. Familiar with employee benefits programs.

4. Demonstrates attention to detail, accuracy, and customer satisfaction. 

5. Strong prioritization and organization skills.
