We are currently seeking a highly organized and proactive Administrative Assistant to join our team. This individual will play a key role in supporting day-to-day operations and ensuring that our office runs smoothly.
Key Responsibilities:
- Administrative Support: Manage day-to-day administrative tasks including answering phones, scheduling meetings, coordinating office activities, and maintaining office supplies.
- Document Management: Prepare, organize, and maintain financial reports, client records, presentations, and other documents in an organized filing system (both physical and digital).
- Client Interaction: Assist in maintaining client relationships by scheduling appointments, responding to inquiries, and ensuring clients’ needs are met in a professional and timely manner.
- Office Operations: Assist in managing the office environment, ensuring that all facilities and equipment are functioning properly.
- Back Office Processing: Account opening paperwork & day to day transactions.
- Communication: Coordinate internal and external communications, including correspondence, emails, and phone calls.
- Project Assistance: Support various team members with project management and other ad hoc tasks as needed.
Qualifications:
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
- Experience: Minimum of 3 years of administrative experience, preferably in a financial or corporate setting.
- Skills:
- Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Excellent organizational and time-management skills
- Ability to multitask and manage competing priorities
- Strong attention to detail
- Excellent written and verbal communication skills
- Knowledge of financial terminology and concepts a plus
