Arrive Health is looking for an experienced Executive Assistant and Office Manager to join their growing team. This position provides calendar management, travel assistance, and administrative support to C-Level executives, while ensuring smooth office operations. We are looking for someone who is extremely organized, adaptable and a proactive problem solver who is passionate about helping improve patient care and supporting a mission-driven team.
Among Other Things, Here Is What You Will Do
Executive Assistant 75%
This position is a full-time remote position with the expectation of being in our Denver, CO office a few times per month at a minimum, and the flexibility to go in ad-hoc when needed. The successful candidate must already have authorization to work in the United States. At this time, Arrive Health does not offer sponsorship. Among Other Things, Here Is What You Will Do
Executive Assistant 75%
- Manage the Chief Executive Officer’s inbox and draft internal and external email communications
- Partner with Arrive Health’s senior leadership team to identify, prioritize, and organize tasks from multiple sources in order to organize work and manage calendars
- Build strong relationships with stakeholders and team members by providing task-related support and fostering collaboration
- Schedule and manage travel for the executive team, including handling last-minute changes
- Assist the Chief Executive Officer in managing projects, timelines and task prioritization
- Provide general administrative support for geographically dispersed sales leaders, including conference management and related travel arrangements when needed
- Assist the sales team with lead assignment in Salesforce by tracking inbound leads and coordinating with sales leadership to ensure timely lead assignment to the appropriate team member
- Maintain confidential data and consistently demonstrate a high level of integrity and trustworthiness
- Prepare and submit monthly expense reports for yourself and members of the senior leadership team
- Coordinate quarterly board meetings and book travel for board members
- Collaborate with marketing to book conferences, secure sponsorships, book travel accommodations and schedule onsite meetings
- Maintain a flexible schedule with availability outside of standard business hours as needed
- Manage relationships with office vendors (office building management, maintenance staff, tech support)
- Maintain appropriate inventory levels for office supplies and snacks
- Execute special projects, such as ordering and shipping client and employee gifts
- Plan and coordinate company events, including employee events, holiday parties, and off-site retreats
- Own the planning and communication of a monthly “Grub-Club” event for our Denver team to connect in-person
- Collect and electronically distribute mail
- Assist finance department with in-person depositing of checks
- Manage the company FedEx account, including creating labels, scheduling pickups, and submitting monthly expense reports for all related shipping expenses
- Maintain the office appearance and make sure A/V and other IT equipment (monitors, keyboards, mice) are well-maintained and functional
- Maintain office inventory, including IT equipment, office keys and fobs
- 4 years of administrative assistant experience, preferably supporting executives
- Ability to complete work with a high degree of accuracy and strong attention to detail
- Strong critical thinking skills that allow you to identify, evaluate and make judgements in a structured way. Partner with management to create actionable plans.
- Ability to adjust to the tactical needs and changes of the business with minimal disruption
- Experience managing multiple calendars in Google calendar
- Experience booking and managing travel logistics
- Excellent organizational skills
- Exceptional organizational, written and verbal communication skills
