Job Description: Conference Planner / Events Coordinator
Location: Arrowwood Resort and Conference Center, Alexandria, MN
Reports to: Director of Sales & Marketing / and Conference Services manager

Job Summary:
We are seeking a dynamic and detail-oriented individual to join our team as a Conference Planner / Events Coordinator. In this role, you will be responsible for planning, organizing, and executing conferences, meetings, and events at our resort. Your goal will be to deliver exceptional experiences for our clients and guests while ensuring seamless coordination of all event logistics.
Key Responsibilities
- Collaborate with clients to understand their event objectives, requirements, and preferences.
- Plan and coordinate all aspects of conferences and events, including venue setup, catering, audiovisual needs, and accommodations.
- Develop detailed event timelines and ensure all deadlines are met.
- Negotiate contracts with vendors and suppliers to secure the best terms.
- Oversee event budgets, ensuring cost-effectiveness without compromising quality.
- Manage on-site event operations, including staff coordination and troubleshooting.
- Conduct pre- and post-event evaluations to measure success and identify areas for improvement.
- Maintain strong relationships with clients, vendors, and resort staff to ensure smooth communication and collaboration.
Qualifications:
- Proven experience in event planning, conference coordination, or a related field.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and negotiation abilities.
- Proficiency in Microsoft
- Ability to work under pressure and adapt to changing circumstances.
- A degree in hospitality management, event planning, or a related field is preferred.
