Position Overview:
We are looking for a detail-oriented and experienced Accounting Administrator to join our team. This role is responsible for maintaining accurate financial records, managing accounts payable and receivable, and ensuring compliance with U.S. tax regulations. Tasks include reviewing invoices for accuracy, ensuring invoices have all supporting documents and purchase orders, ascertaining proper level of authorization, record expenses and request payments in a timely fashion. The ideal candidate has strong organizational skills, attention to detail, and the ability to work independently while collaborating with our finance team.
Key Responsibilities:
- Maintain accurate financial records and general ledger entries.
- Process accounts payable and receivable, ensuring timely payments and invoicing.
- Reconcile bank and credit card statements monthly.
- Providing customer service responds to vendors concerning account balances.
- Prepare and file sales tax and other regulatory filings in compliance with U.S. federal and state laws.
- Assist in the preparation of financial statements, budgets, and reports.
- Assist with year-end closing and work with external accountants as needed.
- Maintain confidentiality of financial and employee information.
- Support additional administrative and financial tasks as required.
Required Knowledge and Experience:
- 3 years of bookkeeping experience, preferably in the U.S.
- Associate’s or bachelor’s degree in Accounting, Finance, or a related field (or equivalent work experience).
- Strong knowledge of GAAP and financial best practices.
- Proficiency in accounting software (Microsoft D365 Finance and Operations, QuickBooks, Xero, Sage, or similar).
- Knowledge of state and federal tax regulations (sales tax, payroll tax, and compliance reporting).
- Excellent attention to detail and ability to manage multiple tasks.
- Strong communication and problem-solving skills.
- Ability to work independently and meet deadlines.
