Position Summary
Supports the firm’s objectives through independent, consistent, reliable, accurate, and efficient execution of the responsibilities described below. The Client Service Associate plays a critical role in supporting our clients and their financial needs. The successful Client Service Associate exhibits dedication, meticulous attention to detail, and a high level of organization in the delivery of proactive client service, often working within short timeframes. The Client Service Associate consistently ensures clients are well-tended and feel privileged to enjoy our services. This role requires exceptional communication skills, an extraordinary work ethic, as well as – with training – a strong understanding of ARS’ client support and investment offerings.
Responsibilities
The responsibilities of this role include (but are not limited to) the following:
- Client Service
o Serve as first point of contact for the firm both over the phone and in person with clients
o Work directly with clients to effectively manage their needs and preferences
o Communicate via telephone and email to resolve client requests and issues
o Obtain and process all client information and transactions
o Maintain client databases, including CRM, portfolio reporting, and marketing
o Answer client questions or address their concerns in a timely, accurate, informative, and professional manner
o Calmly handle client concerns and work to find solutions
o Seek assistance from and report major client and operational issues to upper management
o Open and maintain accounts and supporting documentation
o Ensure compliance with required ARS and government agency rules and regulations as instructed
o Coordinate, prepare for, and deliver materials relevant to client meetings
o Support and foster firm growth through working knowledge of products and services
o Frequently communicate with clients to understand and improve their level of satisfaction with our firm
o Inform clients of any new services or updates to existing ones
o Collaborate with and report progress to Director of Client Services
o Perform basic administrative and clerical duties as necessary
- Operations Efficiencies
o Identify, develop, and implement more efficient processes where appropriate
o Identify, develop, and implement cost-saving strategies where appropriate
- Office and guest support
o Coordinate guest meetings, events, and arrivals
o Support management of office, including streamlining of facilities and daily operating needs, which may include but is not limited to:
* Sorting and distribution of physical mail
* Maintenance of office and kitchen supplies
* Liaison with building representatives and vendors
* Scheduling use of meeting spaces
* Coordination of deliveries to and from the office
o Coordinate personnel travel, including transportation, lodging, and related reservations
o Identify and propose resolution of potential repairs and maintenance
- Ad hoc support on ARS tasks and projects
- Other duties as assigned
