Summary:
The Patient Ambassador is responsible for greeting patients, visitors, and vendors professionally, ensuring smooth check-ins and accurate collection of patient information. This includes scheduling appointments, handling payments and co-pays, maintaining up-to-date patient records, and coordinating with medical staff for efficient office operations. The receptionist is also responsible for answering phone calls, managing correspondence, maintaining a clean front desk area, and ensuring HIPAA compliance while performing other assigned duties.
Principal Duties and Responsibilities:
- Welcome patients, visitors, and vendors with a friendly and professional demeanor, directing vendors to the appropriate contacts within the practice.
- Ensure accurate collection and verification of patient demographic and insurance information during check-in.
- Schedule, confirm, and reschedule patient appointments efficiently
- Collect co-pays and outstanding balances
- Manage cash transactions, provide accurate change, and maintain balanced petty cash.
- Assist patients with completing necessary forms and documentation
- Maintain accurate and up-to-date patient records in the electronic medical system
- Complete daily paperwork and checklists to maintain an efficient and organized patient flow.
- Answer phone calls, respond to inquiries, and direct calls appropriately
- Utilize office software to communicate with patients via text for appointment reminders, confirmations, and other relevant updates
- Coordinate with medical assistants, providers, and billing staff to ensure smooth operations
- Handle incoming and outgoing correspondence, including voicemails, faxes, emails and mails
- Maintain a clean and organized front desk and waiting area
- Protect patient confidentiality and comply with HIPAA regulations
- Performs miscellaneous job duties, as assigned
Knowledge, Skills and Abilities Required
- Strong ability to manage patient flow and ensure organized, efficient clinic experience
- Proficiency in electronic medical records (EMR) systems, scheduling software, and Microsoft Office
- Skilled in handling cash transactions, providing accurate change, and maintaining balanced petty cash
- Excellent communication and interpersonal skills to interact professionally with patients, coworkers, visitors, and vendors
- Strong attention to detail and organizational skills to maintain accurate patient records and office documentation
- Ability to multitask and work efficiently in a fast-paced environment
- Knowledge of insurance verification and patient check-in procedures
- Knowledge of laws, regulations, policies, and practices specific to a physician’s office
- Ability to maintain the confidentiality of patient records and sensitive information in compliance with HIPAA regulations
- Professional appearance and demeanor with a focus on delivering outstanding customer service
- Ability to utilize office software to communicate with patients via text for appointment reminders and updates

Pay: $18.00 - $20.00 per hour
