Job Description
Job Title: Front Desk Agent
Department: Front Office
Reports To: General Manager
SUMMARY
We are a 36 room, boutique hotel, located in downtown Santa Rosa and looking for individuals that want to be part of a team to work in a sophisticated but outgoing and fun atmosphere. Be part of a locally owned and operated Company and work in the hotel’s front desk operation. Be able to perform check-in and check-out procedures in compliance with policies but with a genuine smile and genuine customer service welcoming guests to Santa Rosa and the Wine Country. Our guests will be enjoying a sophisticated stay and close to everything. Be able to use the computer to process guest transactions and setup guest reservations. Become familiar with guest facilities and area attractions and assist guest requests and questions. Run reports and use Property Management System. Answer telephones in timely basis and transfer calls. Communicate with other departments in regards to guest/hotel needs.
Perform other duties as needed by General Manager. Records all incoming reservations in the reservation system accurately and in accordance with property rates and policies.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following, but not limited to:
Wears uniform and name tag at all times.
Obtains all requirements from the guest to secure proper advance reservations, check-in and check-out functions.
Notes any special request on each reservation.
Ensures all agents setup auto transfer, notes, and special services to allow front desk to accurately assign guest rooms
Sells the hotel inventory and rates accurately and controls this selling to maximize occupancy and revenues.
Familiar with all marketing programs, rates and packages.
Greets arriving and departing guests with warm sincere greeting.
Presents registration card properly, establish credit with customer, properly assign room, register guest in computer system, confirm arrival and departure dates, room rates, smoking policy and property orientation.
Properly handles room key procedures ensuring room key matches guest registration.
Properly records all wakeup call requests.
Properly handles guest mail, package, messages and laundry procedures.
Upsells the hotel and all amenities.
Handles guest complaints courteously and efficiently within the company policy and also advise management.
Properly handles guest check out procedures with presenting guest folios, review of folio, settle guest charges, posting charges and collecting room keys.
Handles Lost and Found items and directs guests to proper department in a helpful manner.
Performs shift duties in accurate and timely manner.
Follows all company policies.
Fully understands all fire and emergency procedures.
Maintains good personal hygiene habits.
Promotes positive guest and employee relations.
