Job Overview
The Clinical Coordinator/Clinic Manager in orthodontics is responsible for ensuring the clinic runs smoothly and efficiently. This role includes hiring, training, and managing clinical team members, as well as communicating with patients and parents about treatment plans. Overseeing clinic and lab operations, the coordinator plays a critical role in delivering seamless patient care.
The Clinical Coordinator's main objective is to understand patient needs and expectations, build trust and rapport through effective communication, and foster a strong connection between the patient, doctor, and team.
Responsibilities
Clinic Management:
- Collaborate with the Office Manager and Doctor to oversee clinic team members and maintain accountability.
- Handle various clinical tasks, including patient care, x-rays, documentation, sterilization, patient education, and lab duties.
- Ensure accuracy and completeness of treatment cards (e.g., posting, treatment time).
- Manage lab operations, including oversight of the Laboratory/Invisalign Coordinator.
- Work with the Treatment Coordinator to integrate treatment plan templates into all treatment cards.
- Assist the Office Manager in resolving scheduling conflicts and updating schedule templates, codes, and configurations.
Clinical Duties:
- Perform clinical assistant duties as needed.
- Address clinical area issues and ensure clinic schedule runs efficiently.
- Oversee team member performance, ensuring duties are completed effectively.
- Act as the doctor’s advocate in the clinic, reporting any issues as necessary.
- Make clinical decisions regarding bands, bonds, and other treatments when the doctor is unavailable.
- Communicate with both clinical and front-office team members about late patients and any special cases requiring extra appointment planning.
- Prepare and maintain dental instruments and supplies, greet and seat patients, evaluate oral hygiene, and perform dental tasks such as x-rays, impressions, and scanning.
- Assist with bonding, separator placement, seating of appliances, and removal of bands/brackets.
Patient Management:
- Deliver personal oral care instructions and motivate patients to follow treatment plans.
- Educate patients and parents on treatment progress.
Dental Infection Control:
- Follow infection control protocols as per OSHA, CDC, and local standards.
- Sterilize instruments and disinfect treatment areas.
Practice Management:
- Set and monitor clinic goals with the doctor and team members.
- Ensure clinical and sterilization procedures are documented and followed.
- Keep the clinical manual up to date and lead clinical team meetings.
Team Member Management:
- Recruit, interview, and recommend potential clinical team members.
- Provide feedback and support to resolve personnel issues.
- Lead progress meetings and annual reviews for clinical team members, assigning non-patient duties as needed.
- Model professional verbal skills when interacting with patients and team members.
Team Member Training and Development:
- Develop and implement training protocols for new hires.
- Conduct evaluations and provide ongoing coaching for clinical team members.
- Offer continuing education through literature, videos, and seminars to keep the team updated on the latest industry trends.
- Promote teamwork and collaboration between clinical and administrative team members.
Skills And Qualifications
- Required State License
- X-ray certification and CPR certification
- Minimum of 5 years of experience in an orthodontic practice
- Proficiency in practice management systems and Microsoft Word
- Mastery of clinical skills
- Strong interpersonal abilities to foster a positive team environment
- Ability to communicate effectively and professionally with doctors, patients, and parents
- Skilled in conflict resolution and decision-making
Job Type: Part-time
Pay: $19.00 - $24.00 per hour
