Overview
We are seeking a highly organized and motivated Receptionist/Assistant to join our team. This role is essential for maintaining the smooth operation of our office and providing exceptional support to our staff and clients. The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently.
Duties
- Greet and assist visitors, clients, and vendors with professionalism and warmth.
- Serve as the first point of contact for visitors and clients, ensuring a welcoming atmosphere at the front desk.
- Manage incoming phone calls with professionalism, demonstrating excellent phone etiquette.
- Order, receive, and maintain inventory of office and facility supplies.
- Monitor and update company social media accounts with relevant content.
- Assist the President with administrative tasks, scheduling, correspondence, and special projects as needed.
- Keep the reception and office areas tidy, including vacuuming, dusting, watering plants, and light cleaning of the client restroom.
- Perform office management tasks including filing, organizing documents, and maintaining office supplies.
- Assist in calendar management by scheduling appointments and coordinating meetings for team members.
- Provide customer service support by addressing inquiries and resolving issues in a timely manner.
- Support personal assistant duties as needed to ensure efficient workflow within the office.
- Assist with general administrative tasks as needed.
Skills
- Proficient in typing with strong attention to detail.
- Excellent customer service skills with a focus on building positive relationships.
- Strong organizational abilities to manage multiple tasks effectively.
- Familiarity with office management practices and procedures.
- Experience with QuickBooks is a plus but not required.
- Ability to transcribe accurately and efficiently.
- Effective calendar management skills to coordinate schedules seamlessly.
