This is a full-time, non-exempt, hourly position. Salary Range: $25.00 - $28.50. Working hours: Monday through Friday, from 8:00 AM to 4:30 PM. We are seeking a detail-oriented and highly organized Payroll Coordinator to join our team at Artesia Christian Home, a premier Continuing Care Retirement Community (CCRC). The Payroll Coordinator is responsible for ensuring accurate and timely payroll processing for all employees across various departments while maintaining compliance with federal, state, and local regulations. This role is designed with strong internal controls in mind, ensuring proper separation between Finance and HR duties and minimizing risk and errors within payroll processing. The Payroll Coordinator will be responsible for handling and reviewing data entry, assisting with benefit deductions, and ensuring payroll is processed seamlessly on a bi-weekly schedule. This position works in an office setting, with some interaction across various departments, including HR, finance, and management teams. Requirements/Responsibilities
Specific Duties and Responsibilities: • Process bi-weekly payroll for all employees using the Paycom payroll system. • Verify accuracy of information in the payroll system (e.g., pay rates, deductions, new hire information and benefits are applied accordingly). • Monitor timecard and paycheck approvals by both employees and supervisors using Paycom's payroll features. • Process manual checks for terminated employees and ensure that the information is input in Paycom. • Generate and review payroll reports to ensure accuracy and completeness. • Submit accurate Payroll-Based Journal (PBJ) reports for CMS compliance. • Process and prepare payment for 403(b) deductions via ACH transaction bi-weekly • Calculate report of nursing hours and complete form CDPH612 for submission. • Reconcile monthly health insurance invoices for payment and GL coding. • Process EDD claims as they come in. • Process garnishment orders as they come in. • Ensure compliance with federal, state, and local payroll regulations, including wage and hour laws, as well as meal/break requirements. • Maintain confidential payroll records and files for auditing purposes in accordance with legal and organizational standards. • Assist with preparing reports for audits or other regulatory agencies as required. • Review the accuracy of employee deductions for benefits, taxes, garnishments, and retirement plans. • Respond to employee payroll-related inquiries. • Assist employees with pay issues, tax concerns, and other payroll-related matters, offering guidance in navigating Paycom's self-service portal. • Collaborate closely with HR, finance, and management teams to ensure seamless payroll processing and effective problem resolution utilizing. • Process bank deposits remotely on a weekly basis or more if needed. • Process Petty Cash replenishment and take cash to bank. • Assist with front office duties as needed. Qualifications: 1. Hold a minimum of a high school diploma or equivalent. A degree (AA, BA) in Accounting, Finance, or a related field is preferred. 2. Must have 2 years of payroll processing experience, preferably in a healthcare or senior living setting. 3. Must be familiar with payroll regulations and reporting, as well as state-specific wage laws and CMS PBJ reporting requirements. 4. Must be computer-literate and able to learn new software as needed; proficient in Microsoft Office Suite (Excel, Word, etc.) and Paycom payroll software. 5. Must pay close attention to detail and accuracy of payroll calculations. 6. Possess a strong understanding of the importance of internal controls and segregation of duties in the payroll process. 7. Must have excellent verbal and non-verbal communication skills in English. 8. Must possess strong interpersonal skills and can effectively communicate with employees at all levels. 9. Capable of working independently and as part of a team. 10. Must have excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines 11. Able to work in a fast-paced environment with evolving priorities. 12. Must be in good physical and mental condition, capable of performing assigned tasks; • Good health must be verified by a health screening performed by a licensed physician, including a chest X-ray or intradermal test for TB. • Must be able to hear, talk, and have a clear vision with or without corrective lenses. • Must be able to sit in front of the computer for extended periods of time (more than 75% of the shift). • Must be able to lift up to 15 lbs. for filing or organizing documents 13.
