What are the responsibilities and job description for the Facilities Management Consultant position at ArtYard?
REQUEST FOR PROPOSAL
ArtYard wishes to use the services of a Facilities Management Consultant with Director-level expertise in managing capital projects, developing facilities cost-reduction initiatives, negotiating contracted services such as HVAC and fire safety maintenance, and developing preventative maintenance schedules and protocols.
SCOPE OF WORK AND NEAR TERM GOALS
Capital Projects : Work with ArtYard staff to develop scope and budgets for upcoming capital projects. May include managing some or all elements of capital projects. Upcoming projects include : the exterior renovation of an 1864 three story Victorian house with six apartments; and the fitting out of approximately 9500 square feet of a pre-engineered single-story metal building.
Maintenance Contracts : Survey and review ArtYard’s current maintenance contracts to determine suitability. Determine if additional contracts are needed to maintain proper operations and work with ArtYard staff to negotiate contracts in the best interest of the organization.
Maintenance Schedules : Work closely with ArtYard staff to develop maintenance schedules for the short and long-term preservation and integrity of ArtYard’s facilities, equipment, systems, and properties.
Cost Reduction : Survey and review ArtYard’s current maintenance contracts, utility bills, and vendor relationships to evaluate spending and identify areas where there are potential cost savings and efficiencies. Develop a cost reduction plan for implementation by the ArtYard staff.
General Guidance – Provide phone or onsite consultation to ArtYard’s staff and Board to troubleshoot and resolve issues as they arise and recommend solutions.
APPROACH
While a portion of the assignment can be conducted remotely, we require that the consultant be able to provide on-site services on a regular basis. It is anticipated that ArtYard will engage with the consultant on a periodic, as-needed, and on-going basis for approximately 20-30 hours each month.
