Position Title: Admissions Coordinator
Department: Admissions
Reports To: Director of Admissions
FLSA Classification: Non-exempt
Hours: Minimum of 40 hours per week
Position Summary:
Reporting to the Director of Admissions, the Admissions Coordinator plays a crucial role within the Office of Admissions. This individual will play a key role in leading communication efforts, attracting and engaging prospective students through various communication and recruitment activities. The Coordinator will primarily be responsible for facilitating admissions communication and supporting recruitment efforts, ensuring efficiency, accuracy, and a positive experience for prospective students.
Essential Job Functions:
Communication:
- Work with Associate Director of Admissions and the Visit Coordinator to assist in maintaining and updating recruitment materials, including brochures, presentations, and promotional items.
- Participate in admissions events and orientations to welcome and guide new students.
- Collaborate with the admissions team and other stakeholders to ensure consistent messaging and branding across all communication materials.
- Monitor and analyze the effectiveness of communication campaigns, including email open rates, click-through rates, and social media engagement, and make data-driven recommendations for improvement.
- Maintain and update content on the admissions website to ensure accuracy, relevance, and alignment with recruitment objectives.
- Assist in the development of multimedia content (such as videos, infographics, and virtual tours) to enhance the admissions communication strategy.
- Serve as a liaison between the admissions office and other departments (such as communications and academics) to coordinate communication efforts.
Recruitment:
- Collaborate with Director and Enrollment Advisors to provide support with recruitment logistics and scheduling including collecting data related to recruitment activities.
- Collaborates with all of Enrollment Management (EMT), as well as other key departments on campus, including but not limited to Communications, Community Formation and Alumni, in order to maximize recruitment strategies and efforts.
- Tracks and analyzes recruitment-related data and productivity as part of a strategic enrollment management process.
Administrative:
- Support department with administrative tasks related to recruitment, such as scheduling appointments and managing calendars.
- Support recruitment team with Purchase Orders and other Business Office related activities.
- Provide backup coverage for front desk as needed.
- Promptly, manages incoming inquiries from prospective students, via phone, email, and in-person meetings as needed.
- Collaborate with enrollment advisors and other staff members to support recruitment and enrollment efforts by providing materials, scheduling or other administrative support to assist in enrollment efforts.
- Update and maintain admissions databases and CRM systems with accurate and current information.
Qualifications:
- Bachelor’s degree preferred.
- Previous experience in admissions, student affairs, or a related field is advantageous.
- Strong interpersonal and communication skills, with the ability to interact effectively with diverse individuals.
- Excellent organizational skills and attention to detail.
- Proficiency in Microsoft Office and familiarity with admissions database systems.
- Ability to work independently as well as collaboratively within a team.
- Customer service-oriented approach with a commitment to providing exceptional support to applicants and families.
- Flexibility to work evenings and weekends as required by admissions events and deadlines.
Other Responsibilities:
- Maintains awareness of Seminary admission standards, academic programs and delivery systems.
- Coordinates information exchange with Seminary departments for the successful matriculation of prospective students.
- Contributes to strategic planning, improvement, and implementation of admissions procedures.
- Works closely with Director of Admissions in creating recruitment schedule and marketing pieces.
- Other duties as assigned.
