Job Title: Staff Accountant (Accounts Receivable & Payroll experience is a must)
Location: Manhattan, NY – 100% onsite in Midtown
Employment Type: Temp-to-Perm
Pay Rate: $35/hour (Temp-to-Perm) - 35hrs/week
Salary Range: $75,000 (after conversion to permanent)
Position Summary
Reporting to the Controller, the Staff Accountant is responsible for overseeing and managing accounts receivable (AR) processes, ensuring accurate invoicing and revenue recognition in compliance with nonprofit accounting standards. The role also includes processing biweekly payroll, performing bank reconciliations, assisting in financial reporting, and supporting the overall accounting functions of the organization.
Key Responsibilities
Accounts Receivable & General Accounting
- Generate and send invoices to clients, donors, members, and funders per contracts, grants, and internal policies.
- Process and record incoming payments, including cash, checks, credit cards, and ACH transfers.
- Ensure timely and accurate revenue recognition in compliance with nonprofit accounting guidelines.
- Maintain the general ledger, recording journal entries for payroll, bank transactions, and revenue.
- Perform monthly reconciliations for bank accounts, deferred revenue, and accounts receivable.
- Reconcile revenue entries in the general ledger with fundraising records from the Development team.
- Assist in preparing financial reports, including AR aging, cash flow analysis, and revenue schedules.
- Manage and reconcile petty cash disbursements in accordance with internal policies.
Payroll Processing
- Process biweekly payroll for all employees, ensuring accuracy and timeliness.
- Verify timesheets, wages, deductions, and benefits, ensuring compliance with federal and state tax regulations.
- Record and reconcile payroll-related general ledger accounts on a monthly and quarterly basis.
- Ensure payroll deductions (e.g., taxes, benefits, and retirement contributions) are properly recorded and transmitted.
- Work closely with HR to track PTO and employee changes impacting payroll.
Additional Responsibilities
- Identify opportunities for process improvement to enhance efficiency and accuracy.
- Assist in preparing schedules and supporting documentation for the annual audit.
- Support ad hoc accounting projects as needed.
Qualifications & Core Competencies
- 3 years of accounting experience, preferably in a nonprofit organization.
- Strong knowledge of accounts receivable, revenue recognition, and payroll processing.
- High attention to detail, problem-solving abilities, and strong analytical skills.
- Ability to multi-task, prioritize responsibilities, and work both independently and collaboratively.
- Strong verbal and written communication skills with a professional and team-oriented attitude.
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with Microsoft Dynamics GP and ADP Payroll preferred.
- Bachelor’s or Master’s degree in Accounting from an accredited institution.
