GENERAL JOB DESCRIPTION
Reporting directly to the Patient Access Manager, the Medical Records Specialist is responsible for assisting patients in processing medical records requests. In this role, the person will be responsible for taking medical records requests that arrive from various sources, logging requests and ensuring all authorizations / release forms are completed as defined by the organization’s Legal department. This person will work with the legal department to ensure proper workflows are adhered to when receiving records requests, scanning patient documents, hard copying requested information and forwarding electronic requests as outlined by the organization. This position gathers information, maintains record requests, retrieves records and disseminates records in accordance with HIM, HIPPA and the organization’s policies. As a secondary responsibility and as part of the call center team, this person will be cross-trained and expected to assist with other call center responsibilities that are assigned as part of the team.
DUTIES & RESPONSIBILITIES

- Receives all records requests (mail, inter-office mail, voice / phone and email), and then prepares and distributes information that pertains to medical record requests
- Prepares record requests, logs all requests in appropriate systems and reviews this log on a defined frequency with the organization’s legal department
- Accurately handle filing, scanning, hard copying and distribution of documents in EHRs
- Able to navigate through computer software applications
- Displays excellent customer service and communication skills; with an ability to interact with a diverse population of patients, physicians and other staff members
- Follows all HIM, & HIPAA protocols; as well as organizational policies and procedures
- Manages other patient service / call center duties as assigned
- May be required to work at other offices as needed
- Perform other related duties as required
MINIMUM QUALIFICATIONS
- High school graduate or equivalent
- Experience in health care business office setting
- Basic computer experience & computer skills
PREFERRED QUALIFICATIONS
Prefer one year of medical records experience and / or degree in medical information technology
