Ascension Global Staffing & Executive Search seeks a Legal Assistant with 3 years of experience to support a Construction Litigation practice group at a respected national law firm. This is a hybrid position based in Miami, FL, offering the opportunity to work with a high-performing trial team on complex cases in both state and federal court.
Key Responsibilities:
Case Management:

Open and maintain case files in Client Profiles (CP).

Input critical case data including adjuster, claim number, case style, opposing counsel, court reporter assignments, and deadlines.

Ensure accurate setup and maintenance of all trial team cases.
Court Filings & Procedures:

File all pleadings in state and federal courts.

Draft and e-file notices of appearance for all attorneys on trial team.

Handle first e-filings to ensure proper system configuration and notification setup.

Prepare and file responsive pleadings, notices, and appearances.

Update attorney court notification preferences and e-service lists as needed.
Scheduling & Coordination:

Coordinate and confirm hearings, depositions, IMEs, mediations, and other appointments with all parties involved.

Prepare and serve all relevant documents: notices, subpoenas, correspondence, and confirmations.

Track and update schedules in CP and communicate changes promptly with the trial team.

Reserve court reporters, conference rooms, and manage logistics for in-house proceedings.
Trial Support:

Schedule plaintiff and updated depositions, and prepare confirmation letters and payments to IME physicians.

Prepare trial-related notices and maintain diary of all trial order deadlines.

Distribute trial order deadlines to paralegals.

Schedule pre-trial team meetings at 75- and 30-day intervals before trial.

Coordinate exhibit exchanges and notify team and paralegals.

Provide Office Services with pleadings for indexing 15 days prior to trial.
Document & Mail Management:

Process and scan all incoming mail; ensure trial orders are initialed and deadlines recorded.

Maintain organization of case files and documentation throughout litigation lifecycle.
Qualifications:

Minimum 3 years of litigation legal assistant experience, preferably in construction law.

Strong knowledge of federal and state court filing procedures.

Proficiency with Client Profiles (CP) or similar legal case management software.

Excellent time management, communication, and multitasking abilities.

Detail-oriented with a proactive, team-first attitude.
