Ascension Global Staffing & Executive Search is seeking a Marketing Coordinator for our client's Miami office.
- Our client's Marketing Coordinators, who play a crucial role in our operations, report to the Director of Marketing.
- Our Client's value their proactive approach and self-motivation in implementing the day-to-day operations of the marketing department.
- The Marketing Coordinator assists in executing strategy and regularly communicates with external audiences through various channels, including print, web, and social media.
ESSENTIAL FUNCTIONS
Administrative
- Update the firm’s website content, including posting attorney accomplishments, news, and biographies.
- Process internal request forms for event sponsorships and organizational memberships.
- Maintaining a system for tracking sponsorships and membership expenses.
- Inventory management, procurement, and processing requests for promotional items.
- Reserving conference rooms, tracking event RSVPs, and shipping materials to offices and conferences.
- Tracking calendars, sending reminders, and following up with attorneys and staff regarding project and event deadlines.
- Processing invoices for payment.
Social Media/Writing
- Draft new lawyer biographies and arrange for a photographer to take office headshots.
- Compose press releases and engage with newspapers, magazines, and similar outlets.
- Draft news articles for the firm website, intranet, and internal communication platforms, including the monthly newsletter.
- Engage with the firm’s public relations agency to promote the firm's attorneys in the media.
- Assist lawyers in enhancing their LinkedIn profiles and learn effective networking strategies on the platform.
- Update and maintain the social media presence daily.
- Assist lawyers in drafting and updating daily blogs for various practice areas.
- Act as the primary contact with legal guides and directory organizations, such as Martindale-Hubbell, Chambers, and Super Lawyers, while coordinating submissions for surveys, legal directories, and important awards and rankings.
Creative/Events
- Project leader responsible for managing details of various events both outside and inside the office.
- Create advertisements and related information for inclusion in event program books.
- Coordinate and plan receptions, breakfasts, lunches, and other business development events at the Firm, including managing room reservations, RSVPs, catering orders, nametag production, room setup, and audiovisual requirements.
- Coordinate and plan the firm retreat, picnic, the annual partners meeting, and other events.
Business Development
- Assist in implementing and managing a new CRM system for mailings and tracking client and potential client contacts.
- Prepare business development materials, including drafting pitches, collaborating with attorneys on proposals, and managing and submitting responses to Requests for Proposals (RFPs).
- Assist in gathering and tracking attorneys' specific experience for proposals, RFP responses, award nominations, PR opportunities, biography updates, and similar efforts.

EDUCATION AND EXPERIENCE
- A bachelor's degree in marketing, Communications, or a related field is required for this role.
- Familiarity with marketing professional services to the general public, in accordance with lawyer rules of professional responsibility, is highly valued.
- Experience in marketing within the professional services industry is preferred.
- Familiarity and fluency in various marketing mediums, including website design, SEO, and social media marketing via related media.
- Computer skills, including proficiency in Microsoft Outlook, Word, Excel, and PowerPoint, along with preferred experience in the Adobe Creative Suite (or comparable graphic expertise).
LANGUAGE SKILLS
- Knowledge of English grammar rules and strong spelling skills.
- Proficiency in Spanish is advantageous, but not mandatory.
- Ability to read, analyze, and interpret various business periodicals, professional journals, technical procedures, and governmental regulations.
- Demonstrates strong attention to detail and the ability to effectively present information while responding to inquiries from attorneys, clients, coworkers, and the public.
The position requires in-office attendance during core hours of 9:00 AM to 5:30 PM.
