The Maintenance Planning and Procurement Specialist acts as a centralized and shared resource for the Engineering & Maintenance department. They administrate the maintenance work order process, distributing and collecting work orders. To support execution, the specialist has responsibility for procurement and inventory management of maintenance parts.
This position ensures compliance of the unit maintenance groups to sitewide policies and procedures by assisting with and auditing the workflows of maintenance procurement and planning.
Essential Functions and Responsibilities
- Generate, distribute, collect, and close maintenance work orders on a weekly basis.
o Review maintenance requests and convert to work orders by drafting scope and assigning to work group.
o Create and distribute weekly work schedules for Engineering & Maintenance technicians.
o Report on past due work orders and other relevant maintenance trends.
o Maintain the digital and hard copy archives of completed work orders.
- As needed, assist work groups in equipment research needed for replacement parts and tools.
o Make recommendations for replacement-in-kind components when originals become obsolete or inadvisable.
- Generate purchase orders for Engineering & Maintenance department based on purchase requisitions and inventory signals.
o Track goods receipts and inventory levels based on critical spares strategy and work group needs.
o Report on actual and committed spend, inventory levels, and other relevant maintenance inventory trends.
- Maintain communication with vendors to confirm or update delivery dates, providing accurate planning information to work groups.
o Report on past due delivery dates and open purchase orders.
- Assist work groups with contracted labor procurement.
o Validate purchase order requirements are in agreement with service proposal.
o Validate received service is in agreement with issued purchase order and contract.
o Assist Purchasing and Accounts Payable with past due deliveries, invoices, and payments.
o Ensure requested service provider meets site safety criteria prior to purchase order issue. (Avetta)
- Facilitate work groups with the planning and scheduling of unit and site outages.
o Specialist will interact with multiple work groups and contracted labor to meet schedule.
- Maintain maintenance department stores in a neat and orderly fashion. Receive, identify, and store maintenance materials.
o Periodically perform inventory counts based on CMMS, updating as required.
o Periodically lead teams to clear obsolete inventory and maintain housekeeping.
Minimum Qualifications
Basic qualifications:
· 3 years maintenance or procurement experience in an industrial manufacturing environment.
· Experience with the use of a Computerized Maintenance Management System (CMMS) or Enterprise Resource Planning (ERP) software.
· Strong communication, organizational, and interpersonal skills.
· Ability to take initiative, problem solve, and work cross-functionally.
· Proficient with the use of Microsoft Outlook, Word, and Excel.
Prefer:
· Prior maintenance planning experience in a chemical manufacturing facility.
· Prior experience in a Process Safety Management (PSM) covered facility.
· Prior experience with SAP, specifically PM and MM functions.
· Ability to interpret mechanical and electrical drawings.
Educational Requirements:
· GED/HS diploma
