SUMMARY:
We are seeking a detail-oriented and organized Engineering Admin Assistant to support our engineering team by managing documentation, financial tracking, scheduling, and other administrative tasks. This entry-level role is critical in ensuring smooth engineering operations, compliance with industry regulations, and efficient project coordination.
RESPONSIBILITIES:
Documentation & Compliance:
- Maintain and organize engineering documents, including technical reports, design specifications, and regulatory compliance records.
- Ensure all documentation aligns with FDA, ISO 13485, GMP, and other industry regulations.
- Assist in preparing reports, presentations, and regulatory submissions.
Project & Engineering Support:
- Coordinate meetings, track action items, and manage engineering project schedules.
- Support engineers and program managers by compiling data, preparing reports, and tracking project milestones.
- Assist with procurement, vendor communications, and inventory tracking of engineering materials.
Financial & Administrative Tasks:
- Track engineering budgets, expenditures, and purchase orders.
- Assist in cost analysis and financial reporting for projects.
- Work with finance and procurement teams to ensure timely processing of invoices and expenses.
Process Improvement & Coordination:
- Identify opportunities to streamline documentation and administrative workflows.
- Support cross-functional teams, including R&D, quality, and operations, in project execution.
- Ensure engineering department compliance with company policies and procedures.
QUALIFICATIONS:
Education & Experience:
- Associate’s or Bachelor’s degree in Business Administration, Engineering, or a related field (or equivalent work experience).
- 1-3 years of administrative experience, preferably in an engineering, manufacturing, or regulated industry environment.
Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management software.
- Experience with document control systems and ERP software (preferred but not required).
- Understanding of engineering terminology and processes (a plus).
Soft Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High attention to detail and ability to work with minimal supervision.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
Expected hours: 40 per week
