Job Title: Main Office Assistant

Position Summary:
Ashbrook Independent School, a PS-grade 8 program in Corvallis, OR, is seeking a reliable and organized Main Office Assistant to support our office staff in various administrative tasks. The successful candidate will assist with daily operations, including attendance, student issues, phone management, filing, and responding to inquiries from parents, staff, and students. This position requires flexibility, attention to detail, and a commitment to maintaining a supportive and efficient office environment.
Key Responsibilities:
- Attendance Management: Assist in taking student attendance, giving late passes, updating records, and communicating any attendance-related issues.
- Student Assistance: Provide support to students with locker issues, general inquiries, and other daily needs.
- Health Room Assistance: assessing student needs, providing bandaids, TLC, parent authorized meds for students needing them.
- Phone Management: Answer and direct phone calls to appropriate staff members, ensuring prompt and courteous responses.
- File Management: Assist with organizing and maintaining student and school records in a confidential, neat, and accessible manner.
- Inquiries: Respond to and address inquiries from parents, staff, and community members either in person, over the phone, or via email.
- General Office Support: Provide supplemental assistance to the current office staff as needed, contributing to the overall smooth operation of the office.
- Visitor Management: Screen all visitors using intercom system, confirming validity of reason for visit before permitting to enter the building. Manage check-in/check-out of all visitors and volunteers.
Qualifications:
- Strong communication skills, both verbal and written.
- Ability to multitask and prioritize in a fast-paced environment.
- Attention to detail and strong organizational skills.
- Experience in an administrative or customer service role is preferred but not required.
- Ability to interact professionally and cordially with students, parents, and staff.
Schedule:
- This is a part time position, 3 Days a week, 9:00am - 2:00pm (.4 FTE)
- Start Date: February 2025
- End Date: May 2025 (with possibility of extension depending upon candidates availability and needs of the school)
