Job Description
The main functions of the Financial Aid Office are to effectively and comprehensively assist students and parents through the financial aid process and efficiently manage federal, state, and institutional financial aid programs. The Administrative Assistant provides direct support to the financial aid team while providing excellent service to all Financial Aid Office constituents. This position will effectively serve as the office manager and provide administrative support to different areas of the financial aid office when needed.
- Manages calendars and meetings for the financial aid leadership team.
- Processes and manages all office supply purchases and expense reports.
- Serves as the initial contact for students and parents at front desk; explains steps and paperwork required to receive financial aid.
- Supervises the student assistants including establishing schedules and procedures.
- Responsible for main office phone line; answers questions and explains procedures; forward callers to appropriate counselors.
- Serves as the liaison between the Financial Aid office and other departments across campus
- Assists with the processing of federal direct loans.
- Serves as backup in the verification process and additional undergraduate and graduate paperwork as needed.
- Assists with reports and database upkeep including Etrieve.
- Provides file clean-up as necessary and back-up assistance for other administrative assistants as needed.
- Performs other tasks as assigned by the Executive Director.
Required Qualifications
- High School completion required.
- One (1) to two (2) years of office experience or related field.
- Proficient with Microsoft Office Suite software, particularly Microsoft Excel.
- Excellent verbal and written communication, judgement, analytical, problem-solving, critical thinking and interpersonal skills.
- Detail oriented and accurate in work.
- Effective organization and planning abilities.
- Skill in conducting research and analysis.
- Ability to perform assigned tasks with increasing independence and an understanding of priorities and deadlines.
- Ability to prioritize and manage a significant caseload.
- Ability to adhere to data confidentiality regulations and adhere to data security policies.
Preferred Qualifications
- Associate’s degree.
