Job Description
Serving the Operations and Planning Department, this position is responsible for providing administrative support to the Vice President of Operations and Planning. This would include assisting in the day-to-day office operations, facilitating business processes and reporting, and managing departmental and project budgeting and tracking. The administrative assistant will also be cross trained to provide coverage of other front office administrative staff functions.
- Provide administrative support for the VP of Operations and Planning, including scheduling, correspondence, and special project executions.
- Monitor departmental, operating and project budgets for the Vice President, and assist with reporting and budget analyses.
- Collaborate and coordinate with the business office, department heads, and others to manage facility and capital project business processes and accounting.
- Schedule and coordinate various committee meetings as required by the Vice President. This would include assembling agendas, reports, presentations, and taking/distributing minutes as needed.
- Steward and maintain relationships and logistics with vendors, suppliers, and other external university partners.
- Maintain organized and up-to-date files and accurate accounting records.
- Maintain confidentiality of all university and employee information.
- Ensure quality customer service, for both internal and external customers and/or students, through effective communications, creative problem-solving.
- Other duties as assigned.
Required Qualifications
- High School Diploma or equivalent required.
- Proven experience in an office or administrative support role.
- Organizational and management skills, with attention to details.
- Focus on quality customer service.
- Familiarity with budgeting and excellent knowledge of MS office/teams, databases and information systems.
- Excellent problem solving, analytical, critical thinking and time-management skills.
- Ability to make professional decisions in a fast-paced environment.
Preferred Qualifications
- Associate or Bachelor’s degree in business or other relevant fields preferred.
- Experience working in education or construction related field preferred.
Physical Demands
- Work site is in the Ashland University Operations and Planning office with frequent meetings throughout the campus.
- Work from home opportunity is minimal.
