Job Description
Under the supervision of the Associate Director of Student Services and Success, and as an integral part of the Correctional Education Student Success team, this position is responsible for all aspects of student services and success for correctional education students through one central location. This position serves the department’s students throughout their educational life cycle with an exceptional, seamless service experience that supports student success and institutional goals of recruitment, retention, and graduation. In a service-centered culture, they will assist students in navigating complex institutional and administrative processes.
- Admissions processing and registrar.
- Process approximately 535 initial student electronic and paper files.
- Interface successfully with the CRM (SLATE) as it pertains to applications.
- Request all missing/needed forms from students.
- Make student admission decisions.
- Deploy student acceptance and denial letters.
- Accurately update student information such as name change, academic and demographic information, degree changes as well as other data information.
- Provide transcripts, enrollment verifications, and degree verifications by mail, facsimile, or telephone according to prescribed procedures.
- Maintains confidential academic files in proper working order in accordance with current FERPA and university procedures.
- Assists FERPA-approved individuals and students who request student file information.
- Assists with record retention processes as it pertain to individual student files.
- Assists with the digitization of student files.
- Maintains accurate digitized student files.
- Responsible for the distribution and collection of forms, including but not limited to the release of records, FERPA waivers, degree applications, enrollment verification etc.
- Research previous college work through the National Student Clearinghouse.
- Research other institutions’ accreditation.
- Request and process high school transcripts or completion certificates.
- Request, receive, and process post-secondary transcripts.
- Ensure the authenticity of documents.
- Accurately evaluate credit amounts, including transfer credit, life experience, and non-accredited education.
- Research course equivalencies through external databases (TES) and the Ashland University course catalog to make curricula-based determinations of appropriate university academic credit.
- Interface with University faculty to accurately reflect departmental academic credit decisions for articulation.
- Accurately evaluate credit amounts, including transfer credit, life experience, and non-accredited education in support of the development of comprehensive education plans and placement recommendations.
- Process test scores.
- Work to appropriately apply military and prior learning credit.
- Maintain and manage all transient student transcript requests and receipts as well as timely articulation.
- Work cooperatively with the University’s Office of the Registrar to maintain industry standards in articulation and records management in Colleague and TES.
- Work cooperatively with the office of Ability Services regarding student academic accommodations.
- Work cooperatively with the assistant and associate directors of Admissions Processing and Records and Advising on current and future student enrollments.
- Maintain confidentiality on all information in the office in accordance with current FERPA and university procedures.
- Maintain courteous, professional, and effective working relationships with employees, vendors, and/or any other representative of external organizations.
- Manage the department transcript and records email.
- Manage check request submission for transcripts.
Professional Academic Advisor
- Manages a minimum caseload of approximately 300 student advisees.
- Educates assigned caseload regarding academic policy, dates, and deadlines.
- Develops and maintains advising plans for assigned caseload with the goal of degree completion.
- Ensures that all academic plans are current and up to date.
- Maintains accurate records of interactions with students via SOAR Network and site directors.
- Works collaboratively with Site Directors to ensure accurate and timely course registration and degree completion.
- Creates and confirms registration schedules for each assigned student every term.
- Utilize any/all University retention strategies for assigned caseload.
- Maintains the Student Information System and Course Dog in areas such as but not limited to schedule building, course registrations, student add/drop/withdrawal, grade changes, incomplete grades.
- Participate in the planning, implementation, and evaluation of the academic advisement program goals and objectives.
- Manages student academic standing and related support structures.
- Works cooperatively with the managers of the Learning Management System(s).
- Assist students with Student Accessibility requests.
- Collaborate with Financial Aid to ensure proper use of Title IV funding.
- Collaborates with the Office of Veterans Affairs to ensure proper use of VA funding.
- Collaborates with the Office of the Registrar regarding degree completion and graduation application submission and reporting and any other records procedures.
- Collaborate with peers by participating in the exchange of ideas, information, and philosophies through professional development.
- Comply with all University policies and procedures.
- Other responsibilities and duties may be assigned by the supervisor.
Required Qualifications
- Bachelor’s degree from a regionally accredited institution or equivalent experience required
- One year experience in a high-volume office, preferably higher education records maintenance required
- Excellent written and verbal communication skills

Preferred Qualifications
- Experience in correctional education • Previous experience with Colleague SIS, Slate, and Informer or Argos report writing.
