ADMINISTRATIVE ASSOCIATE - BOOKKEEPER/ACCOUNTANT
Qualifications:
1. Excellent interpersonal and public relation skills.
2. Demonstrated knowledge and experience in accounting practices and budget management. Possess a working knowledge of financial and computer software applications. Knowledge of Wisconsin Department of Public Instruction’s reporting systems is preferred.
3. Attention to detail, high degree of accuracy and the ability to meet deadlines required.
4. Strong organizational skills with the ability to establish priorities, work independently and carry out job objectives without supervision. Ability to demonstrate flexibility in business procedures and maintain confidentiality.
5. Minimum of four years work experience in a business office environment as an accountant or bookkeeper (public accounting experience preferred). Minimum of an Associate Degree in Accounting or equivalent work experience.
Reports To: Assistant Superintendent of Schools for Student/Staff Resources
Job Goal: Responsible for the daily accounting and accounts payable of all funds, the development and maintenance of financial information and the development of fiscal reports. Position will assist the Assistant Superintendent in all aspects of the financial accounting, auditing, budgeting, and reporting of school district finances.
Performance Responsibilities:
1. Implement appropriate accounting procedures for the payment of all legal liabilities authorized by the Assistant Superintendent.
2. Monitor bank account transactions daily. Accounting for all funds received and depositing funds in a timely manner.
3. Maintain district financial records.
4. Coordinate annual audit with district auditors and post year end closing entries.
5. Reconcile monthly bank statements for all district funds to balance sheet. Balance all funds on a monthly basis.
6. Prepare statement of bills payable and monthly treasurer’s report.
7. Monitor savings and investment accounts and coordinate the transfer of funds between various accounts.
8. Prepare and submit all federal, state, and local grant claims.
9. Prepare necessary posting adjustment for approval by the Assistant Superintendent.
10. Assist school secretaries in financial software and account issues. Help administration and coordinators in report development to ensure access to up to date financial/budget information.
11. Assume responsibility for accurate data entry of the district’s budget.
12. Monitor and reconcile self-insurance activity and trust fund balances. Provide necessary reports.
13. Cross train and provide back-up for the Secretary to the Assistant Superintendent.
14. Perform other related duties as assigned by the Assistant Superintendent.
Terms: Twelve month year. Wage and work year to be set by the board.
Evaluation: Performance of this position will be evaluated in accordance with provisions of the Ashwaubenon Educational Support Staff Employee Handbook.
