Reports To: Deputy Director, Advancement
Salary: $75,000-85,000
General Overview
The Events & Partnerships Manager is responsible for planning, executing, and evaluating all membership cultivation events, patron events, and facility rental initiatives at the Museum, in collaboration with the Operations and Hospitality Manager. This role manages all aspects of event production—ensuring seamless and engaging experiences for members, donors, and patrons—while also supporting the Director of External Affairs in forging and maintaining strategic partnerships. The Events & Partnerships Manager will develop and execute a facility rental plan to meet or exceed annual revenue goals, helping to advance the Museum’s mission and growth.
Essential Duties and Responsibilities
Partnerships
- Work with the Director of External Affairs in outreach and cultivation with partnership prospects for sponsorships, underwriting opportunities, and in-kind support
- Create and maintain a prospect pipeline; research potential partners, prepare proposals, and conduct outreach to secure new relationships.
- Execute partnership agreements, ensuring that all benefits and recognition commitments are fulfilled and payments are remitted within the term outlined
- Maintain ongoing communication with existing partners, providing updates on museum programs and impact, and identifying additional engagement opportunities.
- Coordinate sponsor visibility needs, including signage, marketing collateral, and on-site recognition at events.
- Develop and send recap presentations and data to help secure a renewed partnership and to report on partnership metrics and ROI
- Work closely with the Development Coordinator to track sponsorship revenue, maintain accurate partner records, and generate timely acknowledgment letters
AAM Event Management
- Plan, coordinate, and execute membership and cultivation events (e.g., member previews and receptions, patron dinners, ticketed member events, etc).
- Develop and manage event budgets, ensuring events stay under budget and communicating any potential concerns
- Oversee timely payment of vendors by tracking and recording paid invoices
- Manage the creation and sending of event invitations and reminders, as well as accurate tracking of RSVPs (guest names, dietary, attendance) and providing RSVP updates to the Development team
- Liaise with the Development team to identify a check-in team and to execute seating needs, utilizing the check-in app platform when needed
- Develop event timelines and run-of-show documents by meeting with various Departments for walkthroughs
- Supervise event support staff, providing clear direction and feedback
- Monitor and reconcile event budgets, effectively allocating resources, and identifying cost-saving measures without compromising quality.
- Partner with Operations & Hospitality Manager on event execution and logistics
- Provide post-event feedback summarizing attendee statistics, expenses, and recommendations for future improvements.
- Foster teamwork across multiple Museum departments (Curatorial, Education, Facilities, etc.) to deliver unified and memorable events.
- Actively participate in department and cross-departmental meetings, contributing fresh ideas to maximize Museum engagement and revenue.
Facility Rental Management
- Oversee the Museum’s facility rental program, including pricing strategy, contract negotiations, and client relationship management.
- Serve as primary contact for rental clients, providing exceptional customer service and ensuring client needs are met.
- Ensures overall guest satisfaction and reports complaints and/or concerns as required in accordance with policies and procedures.
- Manage the contract execution process, including sending contract agreements to clients, tracking necessary approvals/signatures, securing deposits, and ensuring timely payments.
- Work with Operations & Hospitality Manager to coordinate internal teams (Security, Maintenance, AV/Tech, etc.) to deliver high-quality events.
- Work with the Operations and Hospitality Manager for venue needs for events
- Track rental bookings, manage payments and invoices, and develop regular reports on facility usage and revenue generated.
