Located in Basalt, Colorado, Aspen Snowmass Sotheby’s International Realty is a Luxury Real Estate and Rental company. Our mission is to be the company in the Roaring Fork Valley and surrounding areas where real estate clients want to do business and real estate professionals want to work.
Position Summary
Perform and oversee all Rental accounting for ASSIR. Day to day record keeping and bookkeeping tasks. Communicate with management regarding cash flow and financial reporting.
CURRENT RESPONSIBILITIES:
Daily:
· Process New Rental Transaction
o Review paperwork uploaded by Accounting Admin Assit (NEW RENTAL task)
§ Confirm RDF(s) has correct Landlord Payment Type
§ Confirm RDF(s) has correct broker splits
§ Confirm RDF(s) matches lease agreement figures
§ RDF(s) final version saved on RENTAL DOCUMENT MANAGEMENT server
o Record transaction in Quickbooks
§ Create job for tenant
§ Enter Invoice(s)- pending
§ Enter Sales Receipts- pending
o Enter transaction on Rental Master Ledger spreadsheet (current tab)
o Enter transaction on Sales Tax Master spreadsheet
o Print RDF(s) as necessary & file in appropriate monthly folder
· Process Rental Payments
o Review payment uploaded by Accounting Admin Assistant
o Find appropriate RDF & record payment on RDF
o Mark invoice final & record Payment Received in QuickBooks Job- attach payment PDF to QB
o Mark Sales Receipt final and update date to next rental check run date
o Update Master Ledger spreadsheet
o Save updated RDF to check run folder
o Transfer VRBO Funds & Security Deposit funds as needed (via check in QB)- attach bank transfer to check in QB
· Prepare Landlord Disbursement Wires/ACHs
o Set up wire/ACH in Alpine Bank
o Create task for Accounting Manager to review & transmit wire
o Update RDF with wire number & save wire/ACH notice to RDF
o Attach updated RDF to QB check
· Process weekly rental checks to clients, vendors and brokers (Thursdays)
o Print broker checks for all brokers (many paid via ACH)
o Update RDF scans with check numbers & attach in QB
o Review upcoming check-ins for landlord disbursements & print checks as needed
· Send Rental Register to Rental Manager to check for anything missed
· Attach all completed RDFs to QB checks
Monthly:
· Tie out Rental Master Ledger current tab to QB Res Escrow rec report
As Needed:
· Input new Landlords
o Add job to QB (under appropriate RENT: BROKER customer)
o Add Vendor to QB
§ set for 1099-NEC receipt as necessary)
§ Confirm Print on Check name is appropriate
o Create Item & Accounts (Res Escrow Liability/SD Escrow Liability)
· Input Landlord Wire template
o Once Accounting Admin ASSIR verbally confirms wire info, setup template in Alpine Bank for $1.00
o Create task for Accounting Manager to review template accuracy
o Update Master Ledger to indicate appropriate landlord payment type
o Save Wire info to Accounting Vendor attachments
o Update Landlord vendor to indicate payment type
- Collaborate with Rental Manager on other rental bookkeeping tasks
Qualifications and Requirements
- 3 years of accounting experience required
- 1 year of experience in the real estate industry preferred.
- Must have QuickBooks experience, QuickBooks Online a plus.
- Willingness to learn various software needed in the accounting and rental transaction duties to potentially include: Ajax/Brokerage Engine, Brokermint, Barefoot, QuickBooks, Ring Central.
- PC proficiency is essential (Windows environment), emphasis in Excel, Word, and Outlook
- Real Estate or Rentals experience a plus.
- Possess strong communication skills.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. This job is in-office.
Physical Demands
This is largely a sedentary role; however, some scanning is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Position Type and Expected Hours of Work
This is a full-time position. The days and hours of work are Monday through Friday, generally 8:30 – 5:00PM.
