Asphalt Green (AG) is looking to hire an External Engagement Coordinator for the Marketing Department. This role will be focused on AG’s external communications strategy including event participation (street fairs, conferences, school fundraisers), partnerships, and media coverage. If you are passionate about community relations, great at networking, organized, detail-oriented, and creative, this position may be a fit for you. Qualified candidates will have marketing, events or public relations experience (2-5 years).
NOTE: This position will be on site initially moving to hybrid after a reasonable training period. The role also requires attendance at community-based events, street fairs and campus activity. A comfort level with people interaction and familiarity with the city and the subway is expected. Must be able to work occasional weekends and/or evening events.
Responsibilities:
Event Coordination

Secure and support event day staff with marketing materials, product/service information, and updates to enhance their ability in addressing inquiries and providing accurate information. Participate as needed acting as an AG Ambassador.

Oversee event lead generation process ensuring that AG representatives collect attendee info using Hubspot or pen/pencil. Work closely with AG departments including Community Programs, Aquatics, Sports and Camp at events.

Create and manage a library of external event materials.

Track external event budget monitoring expenses.

Complete event documentation including participation forms and post-event recaps.
Partnerships

Collaborate with Senior Director of External Engagement and Business Development Manager to research, contact, and manage relationships to grow membership affiliations (i.e. nearby housing, colleges, etc.)

Establish and maintain local business partnerships, assist with community outreach (i.e. posters and flyers)

Take lead in local school and community fundraising including, but not limited to, requests for AG participation in silent auctions. You will take the lead on selection, execution, and tracking.

Assist in managing AG event guest lists providing background information such as social media presence, photos, background, etc. on VIPs, partners, politicians, athletes, and more.
Public Relations

Maintain media contact database using Critical Mention.

Track relevant trends and assist in pitching Asphalt Green news stories.

Track press coverage.

Create media reports and presentations for use by marketing and leadership teams.
General

Conduct market research as requested.

Proofread external content to ensure accuracy and adherence to brand guidelines.

Coordinate with marketing team to develop visual assets, talking points, and statistics that complement external communication materials.

Coordinate internal meetings to ensure timely communication and logistics management surrounding external engagement initiatives.

Assist department leadership in preparing for community board meetings i.e. research on topics to be discussed at scheduled meetings.
Qualifications
- Bachelor's degree in communications, marketing, public relations, or a related field is preferred.
- Previous experience in communications, marketing, public relations, or a similar role is preferred.
- Excellent written and verbal communication skills with exceptional attention to detail and ability to adhere to brand guidelines.
- Strong organizational and project management skills, with the ability to prioritize and manage multiple tasks in a fast-paced environment.
- Proficient in using various communication tools, including content management systems and media databases.
- Familiarity with graphic design principles and basic knowledge of Adobe Creative Suite is a plus.
- Strong interpersonal and networking skills, comfortable making cold calls.
- Ability to work collaboratively across teams and departments, serving as an effective liaison between different stakeholders.
- Knowledge of the sports and fitness industry or nonprofit sector is desirable but not mandatory.
Salary : $55,000
