We are a growing cybersecurity consulting firm seeking a detail-oriented and proactive Administrative Assistant to support our operations and enhance productivity. The position is remote, but preference will be given to candidates in Dallas, TX. This role requires a commitment of 25 hours per week and will involve a variety of administrative and operational tasks to assist the founder and ensure smooth day-to-day activities.
Key Responsibilities:
Email and Inbox Management
- Organize and classify emails to prioritize those requiring immediate attention.
- Draft, send, and respond to emails as directed by the founder.
- Maintain a clean and organized inbox to ensure efficient communication.
Scheduling and Coordination
- Schedule sales calls and meetings with clients and prospects.
- Coordinate calendars to optimize time management for the founder and team.
- Send reminders and follow-ups for appointments.
Customer Support
- Respond to simple inquiries and requests for information via email or other communication platforms.
- Act as the first point of contact for general client communications.
Administrative Tasks
- Create, update, and maintain documents, spreadsheets, and reports.
- Organize digital files and ensure records are accurate and accessible.
Other Administrative Duties
- Provide general support to the founder and team as needed.
- Identify opportunities to streamline administrative processes for increased efficiency.
Qualifications:
- Proven experience as an administrative assistant, virtual assistant, or similar role.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Calendar).
- Familiarity with scheduling tools (e.g., Calendly, Outlook) and project management software (e.g., Wrike) is a plus.
- Self-motivated with the ability to work independently and meet deadlines.
- Knowledge of cybersecurity or IT consulting is beneficial but not required.

- This is a remote role, but preference will be given to candidates located in or near Dallas, TX, for potential in-person meetings or events.
