Aspire is looking for an energetic and detail-oriented Director of Event Planning who is responsible for overseeing venue contracting and event planning processes to ensure the seamless execution of live events. This role includes negotiating venue contracts, managing vendor relationships, and directing event planning such as logistics, food and beverage (F&B), staffing, and amenities. The Director serves as the primary point of contact for venue contract fulfillment, on-site event management, and team coordination, ensuring all events meet the company’s quality and efficiency standards.

Key Responsibilities :

  • Manage venue options and negotiate terms that align with event needs and budgets
  • Act as the main point of contact, internally and externally, for all venue-related inquiries
  • Develop and manage event planning and execution (F&B menus, staffing, and amenities)
  • Direct event staffing plans, ensuring efficient workflow and excellent event execution
  • Ensure timely submission of contracts, deposits, and other necessary documentation
  • Work closely with internal teams, including production, logistics, and marketing, to ensure venue requirements and specifications are communicated and disseminated
  • Plan event schedules for internal and external teams to ensure seamless operations
  • Attend site visits and venue walkthroughs to confirm suitability and address any concerns
  • Foster a collaborative and positive team environment, promoting creativity and innovation

Qualifications :

  • 3 years of experience in live event planning, years in a leadership role preferred
  • Proven success in managing large-scale events, from planning to execution
  • Confident and assertive leadership abilities with experience managing diverse teams
  • Strong negotiation skills and familiarity with venue contracts and terms
  • Excellent organizational skills with the ability to manage multiple projects and deadlines
  • Understanding of event production elements, including AV, lighting, staging, and rigging
  • Exceptional written and verbal communication skills
  • Knowledge of local and national venue options is a plus
  • Compensation :

  • Salary : $70,000 - $90,000

  • Schedule : M-F, 9-5 office schedule, flexibility for travel (15%) and weekend events.
