ESKIMOS Sales & Service Coordinator

The primary function of this position is to act as a customer facing team member within the Power Sports Division to serve as a point of contact for issues related to sales, orders, shipment, and other related issues.  The Sales & Service Coordinator also assists management with inventory as well as scheduling and coordinating the work of other mechanics and laborers.  This position will also require knowledge on and provide guidance on light duty general and preventative maintenance, certain repairs and rebuild work for ATVs, UTVs, snow machines, and outboard motors. 

ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

  • Assists with all aspects of the service and parts departments while contributing to an efficient team approach to ensure a high degree of customer satisfaction.
  • Screens incoming calls and correspondence and responds independently when possible; seeks guidance from management where appropriate.
  • Serves as custodian of documents and records. Files documents and records according to policy.
  • Creates repair orders and other similar records to document diagnosed problems and repairs recommended, authorized and completed clearly and accurately.
  • Conveys estimated costs and completion times at the point of sale and clearly communicates the same to customers and promptly notifies customers of any changes, delays or additional work needed.
  • Assigns jobs to technicians based on skill level and current resource utilization and occasionally assists technicians with light duty service work.
  • Reviews work-in-progress to ensure quality and timeliness and provides direction to address any issues, seeking management’s assistance or guidance where appropriate.
  • Maintains a strong working knowledge of inventory/products in order to determine correct part numbers on repair orders and assist the parts department with picking and posting parts before the job starts and places and reconciles all orders with manufacturer.
  • Proactively communicates with manufacturers/vendors when issues or questions arise and keeps management apprised of developments along the way. 
  • Opens and closes all customer paid, warranty, and internal repair orders and ensures all registration and warranty paperwork is timely completed, recorded and submitted.
  • Identifies areas for improvement and/or efficiencies and makes recommendations (to management) or changes to implement the same as appropriate.
  • Periodically operate vehicles and heavy equipment such as company vehicles and forklifts to lift crates.

EDUCATION and/or EXPERIENCE

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Minimum 3 years’ experience in a light duty shop required.
  • Strong administrative and computer skills and experience with an ability to focus on details as well as ability to stay and help others stay organized. 
  • Mechanic trade school courses and/or 2 years of mechanical work experience preferred.
  • Active and unrestricted driver’s license and appropriate certification to safely operate a forklift – or an ability to secure the same shortly after hire. 
  • The ability to speak and understand the Inupiaq language is important and preferred but not required. An existing knowledge, understanding and sensitivity to the Inupiat culture (or willingness to develop the same) is required. 

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or customers.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

While performing the duties of this job, the employee is regularly required to talk or hear.  The employee is frequently required to sit; reach with hands and arms; and to use hands to finger, handle, or feel.  The employee is regularly required to stand, walk, climb or balance, and occasionally taste or smell.  The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 100 pounds.   Specific vision abilities required by this job includes the ability to use close vision, distance vision, peripheral vision, depth perception and adjust focus.

WORK ENVIRONMENT

The work environment is in a small engine shop setting.  The noise level in the work environment is moderate to loud. While performing the duties of this job, the employee is minimally exposed to fumes or airborne particles, toxic or caustic chemicals. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions, occasionally be exposed to wet or humid conditions, may frequently be exposed to extreme cold, and occasional exposed to extreme heat and may be required to travel in small and large commercial aircraft. The employee will work near moving mechanical parts, and high, precarious places. The employee will handle explosive materials such as pressurized gas & propane tanks. In addition, there is risk of electrical shock.  The noise level in the work environment is moderate.
