JOB SUMMARY
Under the direction of the Sr. Director of L&D this position is responsible for assisting management and team members on various administrative and department projects throughout Human Resources, with a focus on the services provided by the L&D team.
ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)
1. Provide professional and effective administrative support to the L&D team and HR Shared Services, including scheduling training sessions, booking venues, and managing logistics.
2. Act as the primary point of contact for visitors and internal clients. Handle inquiries from employees and managers.
3. Organize and schedule appointments, planning meetings, and taking minutes.
4. Research L&D practices to meet organization, departmental, and individual development needs.
5. Assist with monthly shareholder and employee statistic reporting process and other regular or ad hoc reports.
6. Assist with preparing and scheduling training.
7. Assist with preparing flyers, mailers, and other marketing materials.
8. Attends events on behalf of L&D.
9. Provide administrative support for the Department including ordering supplies and greetings guests.
10. At the direction of supervisor, develop and draft content, communications, illustrations, and presentations to effectively present information.
11. Assist with special projects, as assigned.
12. Travel to annual shareholder meetings, conferences, and offsite events.

EDUCATION and/or EXPERIENCE
1) High school diploma or equivalent.
2) Three (3) years of related administrative experience with increasing responsibility.
3) Strong working knowledge of MS Office products (including Excel), DocuSign, Adobe, Adobe Professional, Canva and similar programs and willingness to become proficient in same.
4) Experience answering phones, scheduling and supporting meetings, booking travel and other related administrative tasks.
5) Knowledge, understanding and sensitivity to the Iñupiat culture.
6) Current driver’s license with an acceptable driving record.
7) The ability to speak and understand the Iñupiaq language is important and preferred.
8) Experience in graphic design or communications preferred.
LANGUAGE SKILLS
Ability to read, analyze, and interpret common scientific and technical journals, financial reports, or legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top administration, public groups, or boards of directors.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

The work environment is in a busy office setting. The noise level in the work environment is usually moderate. On occasion, the incumbent is required to work alone at various times during the day or night. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions, occasionally be exposed to wet or humid conditions, may frequently be exposed to extreme cold, and occasionally exposed to extreme heat and may be required to travel in small and large commercial aircraft.
