Under the direct supervision of the General Manager, the primary functions of this position are to train new employees to coordinate front office activities of the hotel and resolve problems arising from guests' complaints, reservations, and room assignment activities. The person serves as a point of contact for desk clerk staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

  1. Trains new staff in the following areas: 
    • Greets, registers, and assigns rooms to guests confidently, professionally, and friendly manner. Providing excellent customer service.
    • Makes and confirms reservations.
    • Answers inquiries about to hotel services; registration of guests; and shopping, dining, entertainment, and travel directions.
    • Computes bill, collect payment and makes change for guests.
    • May be called upon to do entry level accounting tasks, such as bank deposits and/or daily audit reports. 
    • Transmits and receives telephone messages.
    • Keep lobby areas clean and neat.
    • Stock gift shop and ring up sales.
    • Bucket checks to be performed by each shift to verify data as it pertains to (1.) Guest name, (2.) Guest address, (3.) Room rate, (4.) Date of departure, (5.) Number of Guests in room and (6.) Credit card info
    • Communicate harmoniously and professionally with coworkers – sharing all information and updates.
  2. Confers and cooperates with other department heads to ensure coordination of activities.
  3. Provides administrative support to management staff.
  4. Prepare and distribute daily occupancy report summaries.
  5. Follows SOP created for Front Desk; revises with manager as needed.

EDUCATION and/or EXPERIENCE

  1. Strong knowledge, understanding and sensitivity to the Inupiat culture.
  2. High school or equivalent certification.
  3. One (1) year of hotel clerical or administrative experience.
  4. An equivalent combination of training and experience.
  5. Ability to operate standard office machines and basic understanding of computers.
  6. Knowledge of efficient office procedures.
  7. Ability to speak in a clear and understandable manner and write legibly.
  8. Must be able to work independently and must be willing to work shifts that vary from day to night and operate seven days a week.
  9. The ability to speak and understand the Inupiaq language is important and preferred.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or customers.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds.   Specific vision abilities required by this job includes the ability to use close vision, distance vision, peripheral vision, depth perception, and to adjust focus.

The work environment is in a busy office setting.  The incumbent is required to work alone, at various times during the day or night. The noise level in the work environment is usually moderate. While performing the duties of this job, the employee may be occasionally exposed to outside weather conditions, occasionally be exposed to wet or humid conditions, may frequently be exposed to extreme cold, and occasional exposed to extreme heat and may be required to travel in small and large commercial aircraft.
