Job Summary:
Asset Preservation Wealth & Tax is seeking an experienced Executive Assistant to provide high-level administrative support to the CEO. The ideal candidate will have a financial background in wealth management, be highly organized, be detail-oriented, and be able to handle confidential information professionally. Must be able to work in our Peoria & Scottsdale locations!
Responsibilities:
- Manage the CEO's calendar, including scheduling meetings and appointments for wealth clients
- Collaboration with other departments to prepare materials for client meetings as needed
- Keep client management systems up-to-date with client information
- Assist and process information and documentation requirements for new or existing accounts, transfers, etc.
- Assume ownership of inquiries and requests; communicate with internal departments to ensure clients’ expectations for timely service delivery are met
- Act as the first point of contact for the CEO, screening and directing phone calls and emails
- Coordinate travel arrangements and prepare detailed itineraries
- Maintain office organization and filing systems
- Handle sensitive information in a confidential manner
- Provide administrative support for special projects as assigned
Qualifications:
- Experience working in the financial industry is a huge plus
- Proven experience as an Executive Assistant or similar role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook Calendar)
- Strong phone etiquette and customer service skills
- Excellent organizational and time management abilities
- Ability to multitask and prioritize tasks effectively
- Experience with phone systems and project coordination
- Knowledge of clerical procedures and DocuSign software is a plus

Pay: $65,000.00 - $90,000.00 per year
