In this department, we provide a variety of services to the business. REQUIREMENTS:
Education/Training/Experience: Proficiency in navigating an administrative and clerical role. Software programs. Experience in a professional office setting; providing administrative and clerical support for multiple departments.
Skills:
o Strong organizational skills and ability to multitask.
o Time management and ability to meet deadlines.
o Excellent verbal and written communications skills.
o Problem-solving and ability to act as gatekeeper and escalate relevant information to the Director and other executives as needed.
o Ability to prioritize and categorize communications from the least urgent to the most urgent priorities.
o Plan schedules, to-do lists and tasks to execute any projects or tasks. Organizing what requires immediate attention as well as tasks that can be completed in minimal time.
o Exceptional attention to detail.
o Strong interpersonal skills.
o Excellent administrative and clerical skills.
o Ability to accurately recall information and previous processes to complete tasks and projects.
o Excellent MS Office knowledge.
o Familiarity with office hardware and applications.
o Ability to treat confidential information with appropriate discretion.
o Ability to work effectively with minimal supervision.
o Utilize tools and resources to prioritize tasks, organize projects, and manage schedules.
To be successful as an Administrative Assistant, they should be professional, discreet, and attentive while also being accurate. They should always be prepared and ready to assist when needed. The Administrative Assistant must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, the Administrative Assistant should always work within the scope of their role to meet the company’s overall direction and goals.
RESPONSIBILITIES: Includes, but not limited to the following:
· Assisting in clerical / administrative tasks for leadership in the administrative services department. These departments include:
- Payment Team
- Data Entry Team
- HR Team
- IT Team
- Accounting Team
- Client Services Team
- Call Center Team
- Some Quality Assurance work.
- Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects.
· Establishing, organizing, and maintaining files and records in numerous formats.
· Monitoring open projects and reporting the status. Conducting follow-up on outstanding tasks and reporting to the Director.
· Other clerical and administrative duties as needed.
