Job Description:
The Contracts & Compliance Administrator will have direct responsibility for the administration of Government and OEM customer solicitations and contracts, and AAMSI’s various agreements, including but not limited to, Customer Agreements, License Agreements, Sales Representation Agreements, and Supplier Agreements.
The successful candidate will be able to perform in a fast-paced environment while managing activities that cross-over multiple categories, and to assist in the management of critical, time sensitive requirements and schedules. The candidate must be professional, proactive, and maintain a positive attitude when interacting with all staff, customers, and suppliers. Your goal is to exceed expectations and ensure your internal and external customers receive professional and timely service.
Core Responsibilities include:
Agreements:
- Review all agreements received from AAMSI Customers, Licensors and/or Suppliers to protect AAMSI business interests and mitigate risk
- Draft and execute all AAMSI-generated agreements between AAMSI and our Customers, Suppliers and Licensors, including but not limited to, Limited Use Contractor Confidentiality Agreements, Non-Disclosure Agreements, Memorandums of Understanding, Sales Representation Agreements, and Service Provider Agreements
- Maintain records of executed agreements, including update of ERP database to reflect status (as applicable), and update of agreement registers
- Interact with Customers, Licensors, Suppliers and other parties to negotiate and finalize agreement terms and documents
Contracts:
- Review and process within AAMSI’s ERP database (QUANTUM) Government and OEM solicitations, contract awards, amendments and modifications
- Review contractual documents to identify requirements (including applicable FAR/DFAR/DLAD clauses), and identify all performance requirements in AAMSI Solicitation Review and/or Sales Order Flow Down document
- Provide contractual advice, guidance and support to the organization as needed to mitigate risk and ensure a successful performance outcome
- Monitor performance on all Government and OEM contract transactions and update ERP database
- Expedite all transactions by communicating with production and quality to ensure AAMSI meets customer product and delivery terms
- Assist with efforts in proposal preparation (as requested by Sales)
- Participate in management review of proposals/contracts and in the conduct of program reviews
- Maintain effective external and internal customer relations
- Utilize knowledge of different types of contracts, clauses and legalities to always put AAMSI in the best possible light
- Perform risk assessments for all large sum customer quotes and sales orders
- Closely monitor customer orders against committed timelines (i.e., FAT, PLT and production)
- Track all penalty contracts and clauses
- Moderate customer quality issues with the support of the Quality Assurance team
- Identify and assist team with EAR/ITAR requirements for all customer quotes and sales orders
Other Duties include:
- Drive and monitor progress with all Compliance initiatives (i.e., Safety, QMS, EAR/ITAR, ISO) in partnership with Quality Assurance teams.
Preferred Qualifications:
- A minimum of 5 years or more of relevant experience
- Familiarity and experience in the administration of Government and OEM solicitations and contracts in the Defense/Aerospace Markets
- Working knowledge and competency in procurement regulations, FAR/DFARs and ITAR/EAR
- Excellent internal and external customer relationship / service skills
- Strong attention to detail is required to ensure data and process quality
- Ability to recognize and solve typical problems and select solutions from established options
- Good interpersonal, verbal and written communication skills to drive tasks to completion
- Ability to handle multiple tasks and adjust priorities to meet deadline requirements
- Ability to interact effectively at all levels and across diverse cultures
- Strong computer proficiency, particularly with Microsoft Office Suite, with an emphasis on Word and Excel
Education/Experience/Other Requirements:
- Bachelor’s degree in a relevant field or equivalent combination of relevant education and work experience that will allow successful performance of job expectations
- Familiarity with various Compliance programs in aerospace industry
- Citizen of the United States of America
- Drug screening required
