Are you looking for an opportunity to share your passion for customer service in a professional, customer-facing office environment? Associated Employers is seeking a full-time Administrative Assistant to provide reception and administrative support for the organization and related entities with emphasis in our Montana Safety Services Counsel computer training lab. This position is responsible for scheduling training lab participants in both the HASC and Safely/Worksheet training systems.
Primary duties include, but are not limited to:
1. Checks in/checks out training lab participants and issues ID cards.
2. Coordinates registrations and prepares class packet for all training classes as well as certificates and evaluation forms. Confirms attendance for program closeout.
3. Responsible for room set up and cleanup for all training room use.
4. Oversees the safety training video and forklift programs sending out materials, tracking returns and preparing certificates/cards.
5. May cover for Front Receptionist/Administrative Assistant, who’s duties include:
- Processes incoming and outgoing mail.
- Greets and assisting walk-in clientele and telephone callers and directing inquiries to appropriate staff members.
- Operates office equipment such as computers, phone systems, copiers, faxes, postage and assembly machines, and facilitates maintenance and repairs.
6. Performs other duties and responsibilities as assigned.
Qualifications include:
- High school diploma or GED, and 1-2 years of verifiable, relevant experience.
- Exceptional phone skills, including experience with a multi-line phone system.
- Strong oral and written communication skills.
- Excellent interpersonal and customer service skills.
- Computer skills, including experience with Microsoft Word, Excel, Access, Publisher, and Outlook, and use of the Internet. Experience with Microsoft Teams or other business communication platform preferred.
- Ability to listen, follow instructions, and problem solve.
- Attention to detail and accuracy.
- Ability to work alone, independently and take instructions from multiple people.
