Position Summary:
The Clinical Support Team Lead is responsible for handling the front desk operation as well as providing support to the various departments within the practice by performing a variety of supervisory and clerical tasks that ensure the efficiency of daily operations while consistently providing quality patient care.
Essential Functions:
Responsible for planning and prioritizing of reception workflow to maximize the efficiency and quality standards of the medical office operation.
Greets and assists patients and visitors in a prompt, courteous and professional manner.
Responsible in carrying out all requirements, and applicable laws as regulated by the Department of Health, and OSHA.
May be required to obtain patient demographic, intake, and insurance information, ensuring that all information entered in the computer is accurate, eligibility check and necessary paperwork is forwarded to the appropriate departments (i.e., billing, HIM)
Checks-out patients and ensures all appropriate appointments and referrals are made for the patient.
Answers incoming phone calls addressing patient requests and appointment times as needed.
Works with the Billing Manager and billing staff to ensure proper procedures are followed during patient check-in and check-out to secure accurate patient financial data. Verifies accuracy of the collection of copays and required receipts of payment.
Ensures reception staff maintains all patient information according to the established patient confidentiality policy. Assures that all patients check-in. Verifies that necessary paperwork is presented to patients for understanding and signatures (HIPPA, practice and other forms as required.)
Help to support training of new reception staff members in individual work responsibilities and all departmental processes to ensure employee versatility.
Maintains entire work areas in a neat, efficient, and orderly manner.
Maintains fax, printers, copier, ensuring paper supplies and toners are filled appropriately.
Oversees and ensures optimal employee performance of the reception staff regarding daily operations.
Performs all other duties as assigned.
Education / Licensure / Experience:
Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community; Ability to organize and prioritize work assignments with attention to detail; Knowledge of quality, safety, and infection control standards; Strong PC skills, including Microsoft Office systems; Knowledge of medical terminology; Ability to understand the importance of and respect the confidentiality of all patient information; Knowledge of a medical office environment preferred.
Working Conditions:
Work is normally performed in an office setting and requires prolonged sitting.
Physical Demands:
Physical requirements needed to perform the job are eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate documents.
