What are the responsibilities and job description for the Aesthetic Receptionist position at Associates in Dermatology?
Position Summary: Aesthetic reception employees are the front lines of our aesthetic practice. They primarily check patients in/out when they are on site for their appointments, assist patients when they reach the practice by telephone/online and promote/ sell cosmetic procedures and products.
Essential Functions Summary:
The front desk cosmetic employees greet all patients that arrive in the cosmetic suite. Employees will schedule follow up appointments, scan any visit paperwork, promote/ sell skin care products, collect HIPAA forms and capture consent signatures. Staff will verify patient information is correct in all systems, answer phones, check voicemails, schedule procedures request by inter office staff as well as monitor online scheduling.
Position Requirements:
- Must exhibit, demonstrate and maintain outstanding customer service skills
- Promotes/ sells skin care products/services to clients
- Skills in data entry and EMR programs.
- Advanced telephone, computer and multitasking skills when working with inbound and outbound calls.
- Complete all other assigned tasks to ensure efficient department function and workflow.
- Greeting clients by welcoming them, directing them to the proper waiting area, orchestrates the schedule for our providers and maintain proper guest flow
- Prepares charts for the following day’s services, including consents for procedures
- Ensures a positive, consistent guest experience.
- Maintain acceptable levels of attendance and punctuality as specified in company and departmental policies.
- Meet routine deadlines and work schedules as well as timely and accurate completion of special projects and any other duties as assigned, including working spa events
- Understands inventory principles and participates in stocking and minor housekeeping duties
- Display a positive attitude as well as professional, polite, considerate and courteous conduct and treatment of others in the course of duties.
Qualifications:
Must possess a high school diploma or GED.
Must have 1 year experience (preferably in dermatology or cosmetics) within front desk setting.
Must be able to work independently and to maintain mental focus for long periods of time.
Must be organized, dependable, a good trouble-shooter, and be able to resolve issues independently.
Must have prior POS experience.
Physical Requirements:
Must possess strong English oral and written communication skills in order to communicate effectively with other medical staff and management. Eyesight must be sufficient to be able to read medical charts and computer monitors. Must possess manual dexterity sufficient to utilize reference materials and to manipulate pages in Medical Chart and to type on keyboards.
Environmental Conditions:
Typical conditions of office environment. During initial phases of training, stress levels may exceed normal levels as new skills are learned and new information is assimilated.
