Job Summary
Seeking a highly organized and detail-oriented Administrative Assistant who can help in our fast-paced HOA management dealing with numerous calls, emails and billings for our many homeowner associations. The ideal candidate will provide essential support, ensuring efficient workflow and effective communication. This role requires strong time management skills and the ability to handle multiple tasks simultaneously.
Responsibilities
- Perform data entry tasks accurately and efficiently.
- Manage calendars, scheduling appointments, and coordinating meetings for manager.
- Provide exceptional customer support by responding to inquiries and resolving issues in a timely manner.
- Maintain organized filing systems for both physical and digital documents.
- Assist with administrative and clerical duties as needed, including preparing reports and correspondence.
- Utilize AppFolio for basic financial data entry and record-keeping.
- Follow up on accounts, violations and compiling meeting packets.
- Help manager with scheduling contractors and bids for large projects.
Skills
- Proficient in data entry with excellent typing speed and accuracy. Attention to details is a must.
- Strong time management skills to prioritize tasks effectively in a fast-paced environment. AppFolio or similar accounting software is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software applications.
- Excellent customer support skills with a friendly and professional demeanor.
- Strong organizational skills with attention to detail for maintaining accurate records.
- Ability to work independently as well as collaboratively within a team setting.
