ABOUT THE ROLE
Associations International is seeking a dedicated and detail-oriented Member Services Coordinator to join our Member Services team! In this key role, you will provide critical support to our client partners and their members worldwide. As the primary point of contact for our client associations, you’ll deliver exceptional service, foster meaningful relationships, and contribute to each association’s success. The Member Services team is central to enhancing the member experience, ensuring top-tier support and engagement, and driving organizational growth. This position also offers opportunities for professional development, leadership, and active involvement in initiatives that support and grow the member community.
The ideal candidate will be based in Lexington, Kentucky, or the surrounding area and will have the flexibility to work a hybrid schedule—two days per week in the office and three days per week remote. The Member Services Coordinator will report directly to the Member Services Manager, facilitating consistent communication and alignment with team objectives. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Provides the highest level of customer service to every assigned association’s members
- Cross-trained to support secondary association(s) as well as primary when support is needed
- Returns all emails and phone calls within 24 hours, or same day when possible; when answers are not immediately available, respond to share an answer is being researched
- Possesses deep knowledge of assigned client(s), their structure, and member offerings
- Processes new and renewal dues for membership
- Reviews and monitors communications sent through various systems
- Manages distribution of invoices and to ensure confirmations are sent appropriately
- Creates and manages invoice processing including proofing details and coordination of logistics
- Manage conference and event registration including entry of data and payment management
- Manages inventories by coordinating with core staff
- Creates and manage printing, collating and fulfillment of event registrations
- Manges event registration for assigned client(s) including processing of payments
- Markets for member renewal, conference attendance and member recruiting
- Adheres to Standard Operating Procedures (SOPs), updating as process improvements are identified
- Performs other duties as assigned
Requirements
QUALIFICATIONS AND SKILLS
- Undergraduate degree; or combined education or related experience
- Minimum of two years of customer service experience preferred
- Excellent interpersonal skills to facilitate interaction with the workforce
- Communicate effectively, verbally, and in writing to a diverse audience
- Plan, organize, and prioritize work
- Demonstrate the highest level of ethical behavior
- Remain flexible, adapting to changes in work environment
- Study and apply new information and take initiative
- Excellent time-management, problem-prevention and problem-solving skills
- Work accurately with close attention to detail
- Maintain confidentiality of sensitive information
- Possess a work ethic that includes neatness, punctuality, and accuracy
- Exhibit a professional, businesslike appearance and demeanor
- Strong computer skills, including standard Office 365 operating system (e-mail, spreadsheets, etc.)
- Available to travel when needed
