Asteri Behavioral Treatment Center is a rapidly growing organization that is seeking an ABA Scheduling Coordinator to join our team! ROLES AND RESPONSIBILITIES:
- Coordination and management of clients’ schedules and services including but not limited to regular scheduled appointments, makeups, cancellations, etc.
- Maintain accurate records of scheduled sessions, cancellations, rescheduled appointments, and communications made in association to scheduling maintenance
- Complete morning cancellation process by reviewing client and provider-initiated cancellations and informing all necessary individuals
- Communicate schedule changes promptly to all relevant individuals, including clients, service providers, and families.
- Ensure maintenance of information within Central Reach (e.g., update staff and client records, ensure timesheets are completed, update client communication logs, etc.)
- Work collaboratively with other administrative team members as needed (e.g., Authorizations, Intake Coordinator, Clinical Director, etc.).
- Work collaboratively with the clinical team to coordinate the staffing and scheduling of services of clients and staff
- Monitor utilization fulfillment for each client based on authorized services
- Track and address cancellations caused by staff and clients
- Facilitates new hire training and orientation.
- Provide general support to all members of the Clinical team (i.e., Behavior Interventionist, Clinical Supervisor, BCBA).
- Maintain confidentiality of client information and adhere to HIPAA guidelines.
- Participate in assigned meetings (e.g., Team Meetings and 1:1).
- Strong written and verbal communication skills and phone etiquette with a client focus
- Excellent organizational skills, with an attention to detail
- Proficiency with Microsoft Office including Word, Excel, Gmail, and Google Workspace
- Proficiency with Central Reach
- Ability to prioritize, problem solve, and manage time effectively and work with minimal supervision
- Assist with administrative tasks/projects as needed
QUALIFICATIONS:
- High school diploma or equivalent; some college coursework preferred
- Scheduling experience in an ABA agency (minimum 2 years)
- Proficiency with Central Reach
- Proficiency with Microsoft Office including Word, Excel, Gmail, and Google Workspace
- Ability to prioritize and respond to issues quickly
- Strong problem-solving skills
- Excellent organizational and time management skills
- Detail-oriented with a high degree of accuracy.
- Bilingual in Spanish (highly preferred)
- Excellent written, oral, and interpersonal communication skills.
