Job Overview
The Scheduling Operations Specialist is responsible for creating and managing complex schedules for 150 security guard staff members across multiple campus locations. This role involves delivering ongoing scheduling and timekeeping services, managing compliance, and providing administrative support.
Key Responsibilities
- Create and manage complex schedules for staff members using API systems and MS Excel
- Manage calendars of staff members' day/night shifts, schedules, and hours to manage workforce and assist in workforce planning
- Analyze data using advanced Excel skills (pivot tables/v-lookups) for various departments
- Develop and manage department/unit schedules, including regular needs assessments with leadership
- Manage timekeeping to ensure accurate data entry of staff activity per shift and run necessary reports
- Maintain daily review, updating, and data entry of personnel timecards through the electronic timekeeping system
- Analyze and generate various reports for department/unit management teams
- Plan, coordinate, and participate in work related to administration and operation of specialized programs or projects
- Provide project administrative support and technical assistance
- Manage position control and personnel skills data for forecasting staffing/scheduling needs
- Serve as a consultant to leadership in developing staffing patterns and arranging for extended employee absence
Requirements
- Experience coordinating, planning, and managing complex schedules
- Proficiency in Excel, including pivot tables and data analysis
- Experience in schedule management, planning, and coordination
- Knowledge of scheduling and timekeeping systems, policies, and procedures
- Ability to analyze data and generate reports
- Data entry and administrative support experience
- Understanding of wage and hour laws and union contracts related to staffing, scheduling, and payroll
