What are the responsibilities and job description for the Front Office Manager position at Astra Behavioral Health Llc?
POSITION SUMMARY: Responsible for overseeing all aspects of the day-to-day operations of the office. Provide administrative oversight of the office, including management of the support staff, financial and productivity issues, operational issues, and patient and provider relations.
ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:
1. Assure the office is open and appropriately staffed during regular business hours and that
the facility and equipment are operational and safe for staff and clients.
2. Select, train, supervise, and monitor clerical staff.
3. Develop staff schedule, review timesheets, and time off requests and provide and submit payroll
calculations.
4. Assure the cash drawer is balanced at the end of each day, prepare and make all bank deposits, and get
mail from the mailbox.
5. Assure staff is trained and equipped to perform their jobs and the front office is covered at
all times.
6. Communicate with staff and ensure compliance with company policies and procedures.
7. Address performance and disciplinary issues, write-ups, perform 90-day and annual employee
evaluations.
8. Monitor supply inventory and place order requests for all supplies, furniture, and equipment as
needed.
9. Interact with clients and other providers in the community, address and resolve client service
issues. Troubleshoot client, provider, and staff complaints, and diffuse escalated issues.
10. Coordinate facility cleaning contracts, pest control contracts, and equipment maintenance.
11. Perform front office and clinical tasks as a backup in case of absence or high volume.
12. Build and maintain provider schedules within the EMR.
High School diploma or equivalent required. Previous office experience and
experience managing a team is required.
